Rostering and scheduling

Fill every shift with the right worker

And know what the roster costs before you publish it.

Your coordinators build the week in one place and stop ringing around. Drag shifts onto a roster, repeat them from templates, broadcast open shifts to matched workers, and see clash, fatigue and SCHADS cost checks before anything goes out.

What changes for you

The right worker on every shift

Matching ranks workers by skills, current credentials, the participant’s gender and language preferences, travel distance and who already knows them, so continuity is the default rather than luck.

Hours back for coordinators

Recurring shifts, roster templates and open-shift broadcast replace the weekly rebuild and the phone tree. Coordinators handle exceptions instead of filling the whole week by hand.

No surprise wage costs

Each draft roster shows ordinary, penalty, overtime and allowance hours under the SCHADS Award before it is published, so expensive gaps are fixed while they are still cheap.

From service agreement to published roster

  1. Step 1Set up the supports

Shifts are created from the participant’s service agreement, with the support item, ratio and location already attached.

  2. Step 2Build the week

Roll forward the roster template, add one-off shifts and drag changes into place.

  3. Step 3Assign and broadcast

Matched workers are assigned; anything left open is broadcast to eligible workers.

  4. Step 4Check cost and compliance

Clash, fatigue and credential checks clear, and the SCHADS cost preview is reviewed.

  5. Step 5Publish

Workers receive their shifts in the app; changes after publishing notify only the people affected.

See it in the app a closer look at the screens your team uses every day.

Familiar faces for participants, fewer phone calls for you

When a shift opens, CompanionAxis lists the workers who can legally and practically take it: credentials current, skills the participant needs, no clash or fatigue breach, within reasonable travel, and not on leave. It then ranks them by the participant’s stated preferences and by who has supported them before, so a known worker is offered the shift first.

  • Skills, qualifications and current screening checks
  • Participant preferences for gender and language
  • Distance from the worker’s home or previous shift
  • Continuity with workers the participant already knows
Features

What’s included

10 features

  • Drag-and-drop rosterDay, week and fortnight views by worker, participant or SIL house. Drag a shift to reassign it, stretch it to change its length and see the change checked as you drop it.
  • Recurring shifts and roster templatesSet a shift to repeat weekly, fortnightly or on chosen days with an end date, or save a master roster per house or program and roll it forward a week, a fortnight or a month at a time.
  • Open-shift broadcastUnfilled shifts go to the workers who are eligible, available and nearby by push notification and SMS. The first suitable acceptance fills the shift and the rest are told it is taken.
  • Worker matchingCandidates ranked by required skills and qualifications, valid Worker Screening Check and WWCC, gender and language preference, distance from the shift and how many past shifts they have worked with the participant.
  • Clash and fatigue checksWarnings for double bookings, overlapping travel, too little break between shifts, too many hours in a week and expired credentials, before the shift is saved rather than after it is worked.
  • Availability and leaveWorkers set their standing availability and request leave in the app. Approved leave blocks rostering, and shifts already booked in that period are flagged for cover.
  • SCHADS cost previewEvery draft roster shows hours by pay type and an estimated wage cost per participant, house and worker, so you can compare options before publishing.
  • Group and shared-support shiftsRun 1:2, 1:3 and centre-based group shifts with several participants and workers on one booking. Each participant is billed at the correct ratio for the support item.
  • Sleepovers, active nights and broken shiftsShift types for sleepovers, active nights and broken shifts carry the right pay and billing treatment, including active time recorded during a sleepover.
  • Shift swaps and cancellationsWorkers offer and swap shifts in the app subject to coordinator approval. Participant cancellations are recorded with the reason and notice given, ready to bill under the current NDIS Pricing Schedule rules.

Questions buyers ask

Can we roster group activities and shared supports?

Yes. A single shift can hold several participants and several workers at a 1:2, 1:3 or other ratio. Each participant is billed their share at the correct support item, and the shift appears once on each worker’s roster.

How are sleepovers and active nights handled?

They are their own shift types. A sleepover carries the sleepover allowance for the worker and the matching billing for the participant, and any active time the worker records overnight is paid and claimed on top.

What happens when a participant cancels at short notice?

The coordinator records the cancellation, the reason and when notice was given. Whether it can be billed is worked out against the current NDIS Pricing Schedule rules, and the worker’s pay follows your award and policy settings.

Can workers pick up shifts themselves?

Workers can accept broadcast open shifts they are eligible for, and offer or swap their own shifts. You choose whether acceptances and swaps need coordinator approval.
