Invoicing and billing

Bill every hour you deliver, at the right price

Invoices built from completed shifts and priced against the current NDIS Pricing Schedule.

You stop rebuilding invoices from timesheets and spreadsheets. When a shift is completed, CompanionAxis already knows the participant, the support item, the times worked, the travel and the funding source, so the invoice line is priced, checked against the price limit and sent to the right payer.

What changes for you

No delivered support left unbilled

Every completed shift, travel claim and short-notice cancellation becomes an invoice line, so revenue doesn’t depend on someone remembering to add it.

Prices that pass the price limit

Support items are priced from the current NDIS Pricing Schedule and Support Catalogue and checked against the price limit before anything is sent, so lines aren’t rejected or written down later.

Invoice runs in minutes, not days

Select a period, review the exceptions and send, so finance spends its time on the lines that need judgment rather than keying the rest.

From completed shift to paid invoice

  1. Step 1Shift completed

The support worker checks out and submits the shift note; the coordinator approves the timesheet.

  2. Step 2Lines priced

Support items, rates, loadings, travel and cancellations are priced from the NDIS Pricing Schedule in force on the day.

  3. Step 3Exceptions reviewed

Lines over the price limit, outside the service agreement or beyond the plan budget are flagged for finance to fix.

  4. Step 4Invoices sent

Each funding source gets the right output: bulk claim, plan manager email, participant invoice or private invoice.

  5. Step 5Payments reconciled

Payments and remittances are recorded and synced to Xero, MYOB or QuickBooks.

The rate comes from the shift, not from memory

CompanionAxis reads when the shift ran, where the participant lives and which support item the service agreement covers, then applies the matching rate from the NDIS Pricing Schedule and Support Catalogue in force that day. A Saturday sleepover in a very remote area and a weekday community access shift are priced correctly without anyone looking up the Support Catalogue.

  • Weekend, public holiday and night rates from actual times
  • MMM loadings from the participant’s address
  • Price-limit check on every line

Questions buyers ask

What happens when NDIS prices change?

Each NDIS Pricing Schedule and Support Catalogue is loaded as a separate version with its start date, whether it comes from the Annual Pricing Review on 1 July or a mid-year change such as the 1 December 2026 increases linked to SCHADS wage rises. Shifts are priced by service date, so back-dated invoices stay correct.

Does differentiated pricing affect our invoices?

From 1 January 2027, unregistered providers have lower price limits for Social, Community and Civic Participation supports. CompanionAxis checks each line against the limit that applies to your registration status on the date of service.

Can we invoice plan-managed and self-managed participants differently?

Yes. The funding source on the participant’s plan decides where the invoice goes: plan-managed invoices are emailed to the plan manager, self-managed invoices to the participant or nominee, and NDIA-managed lines go to the bulk claim.

Which accounting systems do you connect to?

Xero, MYOB and QuickBooks. Invoices, customers and payments sync across so your accounts reflect what was billed in CompanionAxis.
