Setting up your organisation: ABN, NDIS registration number and registration groups

Record your legal entity, ABN, NDIS registration status and registration groups, and set up your branches. Invoices, bulk claim files and NDIS price limits all depend on these details.

Before you begin

  • The entities and sites settings permissions (Administrators have them).
  • Your ABN, NDIS registration number (9 or 10 digits), registration expiry and four-digit registration group numbers.

Complete your organisation profile

  1. Go to Settings → Organisation and sites.
  2. Select Edit profile.
  3. Check Legal name and Trading name, set the Time zone, and add the Primary contact, Support email, Website and address.
  4. Set Financial year starts (MM-DD) (for example 07-01) and Week starts on, then select Save profile.

Add your ABN and NDIS registration to the legal entity

  1. Open the Legal entities tab and select your entity marked Default.
  2. Enter the ABN. It’s checked against the ABN Lookup after saving.
  3. Enter the NDIS registration number (used in bulk payment request files) and Registration expires.
  4. In Registration groups, enter your four-digit group numbers separated by commas, for example 0104, 0115, 0117, and tick the States registered in.
  5. Set GST, the Invoice prefix and Next invoice number, the Registered address, Remittance email and bank details.
  6. Select Save entity. Select Check ABN on the Registration card to see the ABN Lookup result.

Record your registration status

New organisations start as unregistered. Registered and unregistered providers have different price limits for some supports, so record the status with the date it applies.

  1. In the entity, find the Registration card.
  2. Choose the New status (Registered, Unregistered, Registration pending, Lapsed or Revoked).
  3. Enter Takes effect, and optionally Expires (optional) and a Note.
  4. Select Record registration change. Past invoices keep the price limits that applied at the time.

If you’re not registered, open the Getting started checklist and select We’re not registered under Confirm your NDIS registration status.

Set up regions, branches and houses

  1. Open the Structure tab.
  2. Select + Region and give it a Name and State or territory if you group branches by region.
  3. Select + Branch, choose its Region, add the address and Cost centre, and select Save branch.
  4. If your plan includes accommodation, select + House to add each house to its branch.

Tips

  • Each extra legal entity has its own ABN, NDIS registration, invoice numbering and bulk claim files. Add one with Add entity.
  • Changing bank details asks you to confirm it’s you with your second sign-in step.

If something goes wrong

“This ABN isn’t valid. Check the 11 digits.”

The ABN failed its check digit. Re-enter all 11 digits; spaces are fine.

“Another entity already has this ABN.”

The ABN is already on another entity in your organisation. Edit that entity instead of adding a new one.

Registration groups won’t save

Each group must be exactly four digits, separated by commas, for example 0107, 0136.

Add branch opens an upgrade message

Your plan’s branch allowance is used. Upgrade in Settings → Plan and billing, or archive a branch you no longer use.
