How sleepover and active night shifts reach the timesheet, how the sleepover allowance and active time are paid, and what to check before approving overnight lines.
Before you begin
- You need Approve timesheets to approve lines and View pay rules to see the allowance amounts.
- The overnight shift must be rostered with the Sleepover or Active night shift type.
How overnight shifts are paid
- An Active night shift is paid as worked time: the interpreter applies the night or weekend rate to the hours like any other shift.
- A Sleepover with a sleepover window is paid as a Sleepover line: the hours outside the window are paid as work, the window itself earns the Sleepover allowance per night.
- Active time during the sleepover is paid on top at the applicable rate, for at least the minimum set in the pay rules, and doesn’t count towards overtime.
- Check the amounts on Time → SCHADS pay rules → Allowances: Sleepover allowance (per night) and Active time during a sleepover.
Check an overnight line
- Go to Time → Approve timesheets and set Line type to Sleepover (or search for the house).
- Open the line. A purple box reads Active time during the sleepover: {n} min when active time was recorded.
- Check Pay calculation: you should see Sleepover allowance plus the worked hours, and any active time at its rate.
- If the worker was woken and the time isn’t on the line, select Edit with reason, correct the times and note what happened, then Save change.
Preview a sleepover before rostering
- Go to Time → SCHADS pay rules and select Test a shift.
- Choose the worker and date, set Shift type to Sleepover, and enter the start and finish (for example 22:00 to 07:00).
- Enter Active time (minutes) if you expect the worker to be woken.
- Select Calculate and review Pay for this shift.
Tips
- Sleepover and active night shifts show in purple on the roster board, so you can spot them before the pay run.
- See Rostering sleepovers and active nights in a house for setting them up in SIL.
If something goes wrong
A sleepover was paid as ordinary night hours with no allowance
The shift has no sleepover window. A Sleepover line is only built when the shift carries one; otherwise the hours are paid as a normal shift. Check the shift and contact support.
Active time isn’t on the line
Edit the line with a reason to record the times worked, or ask the worker about it with Query worker.
