Setting pay levels, employment types and pay rates

Each worker is paid from a pay profile: their SCHADS classification, employment type, contracted hours and work state from a date. This tutorial covers setting profiles and updating award rates with a new rate version.

Before you begin

  • You need Manage pay profiles to change a profile, and Manage pay rules and Approve pay rules for rate versions.
  • The worker must have a staff record (Team → Staff directory).

Set a worker’s pay profile

  1. Go to Time → SCHADS pay rules and open Per worker. A Not set badge shows workers with no classification.
  2. Select Pay profile on the worker’s row.
  3. Set Effective from, Employment (Full-time, Part-time, Casual or Salaried) and Classification.
  4. For part-time staff enter Contracted hours a week; set Work state and a Reason, such as “Progressed to level 3 after 12 months”.
  5. Select Save from {date}. Open timesheet lines from that date are recalculated.

Check classifications and rates

  1. Open Classifications and rates to see each level’s Hourly rate, the Casual rate with loading, the Weekly rate and the number of Workers on it.
  2. Use the Version list to view a past or scheduled version.

Update rates for a wage review

  1. Select New rate version.
  2. Enter a Name (for example “Annual Wage Review 2027–28”), an Effective from date in the future and the Increase (%).
  3. Choose Applies from (First full pay period on or after or The date itself) and Applies to (All classifications or Levels 2–4 only). Select Create draft.
  4. Check the draft on each tab; edit rates in place and select Save rates or Save.
  5. On Versions, read the impact note, then someone other than the author selects Schedule. Shifts from the date are paid at the new rates; earlier shifts keep theirs.

Tips

  • Without a pay profile, the classification and employment type on the worker record are used.
  • A scheduled version can be withdrawn with Cancel on the Versions tab before it takes effect.

If something goes wrong

A later profile exists

The worker already has a profile starting on or after that date. Choose a later effective date.

Choose a classification from the pay rules in force on that date

The classification isn’t in the version in force on the effective date. Pick one from the list.

Effective from shows “Must be a future date”

Rate versions can only start in the future. Pick tomorrow or later.
