Rostering sleepovers and active nights in a house

Put sleepovers and active nights on a house roster, either from the Roster of Care or one at a time, and check the overnight pattern on the house page.

Before you begin

  • You need Create shifts (rostering.shifts.create) to add shifts and Edit rosters of care to generate them from a Roster of Care.
  • For generated shifts, the house needs a current Roster of Care (see Building a Roster of Care).

Add night bands to the Roster of Care

  1. Go to Homes → Rosters of care and choose the house.
  2. Open a draft (select Edit as a new draft if a version is in force).
  3. Select Add band, name it (for example Sleepover) and set From 22:00 and To 06:00, or the hours your house uses.
  4. Set Type to Sleepover or Active night.
  5. Enter the number of staff for each night from Mon to Sun.
  6. Select Save draft, then Activate. The Nights stat shows sleepovers and active nights a week.

Sleepovers are costed per night per staff member; active nights are costed by the hour.

Generate the night shifts

  1. With the version current, select Generate house shifts.
  2. A message confirms how many house shifts were created as drafts from the start of next week.
  3. Go to Roster → Roster board, set Group by to House and find the night shifts. Sleepover and active night chips have their own colour in the legend (Sleepover / active night).
  4. Assign workers, then select Publish roster.

Add a single night shift

  1. On Roster → Roster board, select New shift.
  2. In Who and where, choose the House (optional) and the participants.
  3. Choose a Shift type of Sleepover or Active night. The times change to 23:00–07:00; adjust them if needed. Finishes the next morning is shown for overnight times.
  4. Set the Support item, pick a worker from Worker · ranked by match and select Save as draft.
  5. Publish the roster when you are ready.

Check the night pattern

  1. Open the house from Homes → Houses and select the Nights tab.
  2. The Sleepover and active night pattern table shows the last two weeks and the week ahead with Type, Status, Pay treatment and Billing.
  3. Use the Type filter to show only Sleepover or Active night shifts. A night still marked Open needs a worker.
  4. Select a night to open the shift record.

Active time during a sleepover is recorded by the worker in the app and paid and billed as active support.

Tips

If something goes wrong

Generate house shifts isn’t shown

It appears only on a current or scheduled version, and needs Edit rosters of care plus permission to create shifts.

The Nights stat is 0 after adding a band

Figures refresh when you save. Select Save draft.

A generated night shift is missing

Slots already covered by shifts from the same Roster of Care (same day and start time) are skipped, and days outside the version’s effective dates aren’t generated.
