Claiming shared SIL supports by resident

Shared SIL staff time is split across the residents on each house shift, so each resident is invoiced or claimed for their share. This article explains where the split comes from and how shared house shifts reach invoices and bulk claims.

Before you begin

  • The house’s shifts should come from a current Roster of Care, or have the residents booked on them.
  • Timesheets for the shifts must be approved before they can be billed.
  • You need permission to create invoices and, for NDIA-managed residents, to run bulk claims.

Understand how the split works

On a shared house shift, each resident’s billable hours are shift hours × staff on shift × the resident’s share.

  1. Go to Homes → Rosters of care, choose the house and look at Split by resident.
  2. Check each resident’s Share and their shared and 1:1 hours. By default the share is even across the residents present.
  3. Open the house and select Shared costs to see SIL support costs apportioned across residents with weekly and annual values per resident.

Residents marked cancelled on a shift (for example in hospital or on leave) are left out of that shift’s split. Shares are frozen once a shift is invoiced.

Make sure the shifts carry the residents

  1. Generate house shifts from the Roster of Care with Generate house shifts: each draft shift lists the residents living in the house that day with their shares.
  2. For a shift you add by hand, choose the house and add every resident present in Participants.
  3. Set the Support item on the shift. The shift can’t be claimed without one.
  4. Publish the roster, and approve the timesheets after the shifts are worked.

Individual 1:1 hours are billed to that resident only.

Invoice plan-managed and self-managed residents

  1. Go to Billing → Invoices and select Generate from shifts.
  2. Choose the period. Each resident on an approved house shift gets their own line with their share of the hours.
  3. Check the lines and create the invoices.

Claim NDIA-managed residents

  1. Go to Billing → Bulk claims.
  2. Start a new claim and select the invoices for NDIA-managed residents.
  3. Fix any line that fails the checks, then create the batch and generate the bulk payment request file.
  4. Upload the file in the myplace provider portal and import the results.

See Generating a bulk payment request file.

Tips

  • Household expenses (resident contributions) are not NDIS funded. They appear under Household expenses (resident contributions) on the Shared costs tab and are invoiced to each resident separately.
  • If a resident is in hospital, mark them cancelled on the affected shifts before the shifts are invoiced so the others’ shares are recalculated.

If something goes wrong

A resident has no line for a house shift

Check the resident is on the shift and not marked cancelled, that the timesheet is approved, and that the participant isn’t exited (lines are skipped as participant_inactive).

The shares look wrong

Shares are set when residents are booked on the shift. If residents changed after generation, the house apportionment rule must be re-applied before invoicing. Ask support.

Line already invoiced

A shift line is billed once. Use a credit note to correct it.
