Set up the alerts, preferences and care information a support worker sees in the app before and during a shift, and check what they will see.
Before you begin
- Manage risk flags to add alerts, and Edit participants (via Run intake) to change preferences.
- A published care plan if you want its sections shown to workers.
Add a risk flag workers see on every shift
- Open the participant and go to the Risk flags card on the Overview tab. Select Add.
- Choose the Flag and check the Severity (Low, Medium, High or Critical).
- Write the short instruction in Alert workers see, for example where the EpiPen is kept.
- Put clinical detail in Details (health information), which is protected as health information.
- Set Review on if the flag should be checked by a date, keep Show to workers on every shift ticked, and select Add flag. Workers rostered with the participant are notified.
Record communication and support preferences
- Open the More actions menu (…) on the record and select Edit details.
- Go to the Communication and preferences step.
- Update How they communicate, Preferred language, Preferred worker gender (used by roster matching) and Cultural and religious considerations.
- Write How I like to be supported; it is shown to workers before every shift.
- Choose Likes and preferences, then continue to the last step and select Save changes.
Share other information with workers
- Contacts: edit the contact and tick Workers can see this contact in the worker app.
- Documents: when uploading, tick Workers can see it in the worker app.
- Care plan: sections such as About me and How I communicate in the published care plan are shared with workers.
- Shift-specific instructions: add them in Shift instructions when you create the shift on the roster.
Check what the worker sees
- In the support worker app, the worker opens the shift and taps the participant.
- The profile starts with Alerts and risks, then the About, Goals, Health and Notes tabs. About shows the care plan, Communication and culture and Contacts.
- Ask a worker to confirm the alert reads clearly on a phone.
Tips
- Keep Alert workers see short and actionable; put history and diagnosis in Details.
- Resolve a flag that no longer applies with Resolve and a reason, rather than leaving it to clutter every shift.
- Sections the worker isn’t allowed to see are left out by the server, so not every worker sees the same profile.
If something goes wrong
A worker can’t see a new alert
Check Show to workers on every shift was ticked and that the worker is rostered with the participant. The app shows current information when online.
The About tab says No care plan shared
The participant has no published care plan version. Publish one from People → Care plans and goals.
Edit details isn’t in the menu
It needs the Run intake permission. Ask an administrator.
