Record a participant’s NDIS plan dates, funding management type and plan manager so CompanionAxis knows who pays and when reassessment reminders are due. You do this in the Plan and funding step of the participant wizard.
Before you begin
- Your role needs the intake permission (the Rostering coordinator, Operations manager and Administrator roles have it).
- Have the participant’s NDIS plan or plan summary in front of you: start date, end date and how each part is managed.
- The participant’s 9-digit NDIS number (starting with 43) is needed for NDIS funding.
Open the Plan and funding step
New participants go through the six-step wizard. For an existing participant you reopen the same wizard in edit mode.
- For a new participant, go to People → All participants and start a new participant, or convert a referral from People → Referrals and intake.
- For an existing participant, open their record, select the More actions menu (three dots) and choose Edit details.
- On step 1, Details and NDIS number, check the NDIS number field. It must be 9 digits starting with 43, and no other participant can have the same number.
- Select Continue to move to step 2, Plan and funding. Each Continue saves the step as a draft.
Enter the plan dates and management type
- Enter Plan start and Plan end. The hint under Plan end shows the number of days and confirms that reassessment reminders go out at 90, 60 and 30 days.
- If the plan end date is already in the past, tick This plan has already ended – record it anyway if you really mean to record an old plan.
- Choose the Funding management type: NDIA-managed, Plan-managed or Self-managed. This decides who pays: an NDIA bulk claim, a plan manager invoice or the participant.
- For Plan-managed, choose the participant’s Plan manager from the list (you can type to search). For the other types the read-only Invoices go to field shows NDIA (bulk payment request) or Participant or nominee.
- Under Funding sources, make sure NDIS is ticked.
- Enter the budget for each support category (see Setting budgets by support category and support item), then select Continue.
Finish and check the result
- Work through the remaining steps and select Create participant (or Save changes when editing) on the last step.
- Open the participant’s record and select the Funding tab. The top cards show Plan budget with the plan dates.
- Check the Budgets by support category card. Its subtitle repeats the funding management type and where invoices go.
- Check the Plan review card: it lists the reminders at 90, 60 and 30 days before the plan ends as Scheduled.
Tips
- The Summary card on the right of the wizard shows the plan dates, management type and NDIS budget total as you type, so you can check them before saving.
- Budgets never roll over. Enter only this plan’s amounts, even if the participant had money left at the end of the last plan.
If something goes wrong
Plan end must be after the plan start.
The end date is before the start date. Check the dates on the plan document and correct them.
A plan can’t run longer than 5 years.
The dates are more than five years apart. This is usually a typo in the year.
This plan has already ended. Confirm to record an ended plan.
Tick This plan has already ended – record it anyway if you are back-recording an old plan, or correct the end date.
Choose the plan manager for a plan-managed participant.
You chose Plan-managed but left Plan manager empty. Pick the plan manager before continuing.
