Record NDIS, private fee-for-service and DVA funding on the same participant. Each source keeps its own budget, rates and payer, so invoices go to the right place.
Before you begin
- The intake permission.
- For private funding: the agreed hourly rate, or a private rate card (see Invoicing self-managed and private participants).
- For DVA funding: the participant’s DVA card details.
Add the funding sources
- Open the participant wizard (new participant, or More actions → Edit details) and go to Plan and funding.
- Under Funding sources, tick each source that applies: NDIS, Private fee-for-service and DVA. Support at Home is shown as coming soon and can’t be ticked yet.
- For NDIS, enter the plan dates, management type and category budgets as usual.
- For Private fee-for-service, enter the Private fee-for-service rate (per hour).
- For DVA, enter the DVA card number.
- Select Continue and finish the wizard. Each source is saved as its own plan period.
See the sources side by side
- On the participant’s Funding tab, the Funding sources card lists each source with its dates, spending and payer.
- If the participant has more than one plan, use the list at the top of Burn-down and forecast to switch between sources.
- For the whole organisation, go to People → NDIS plans and budgets → Funding sources. The cards show totals for NDIS, Private and DVA, and Participants with more than one funding source lists each budget with its payer.
Price the non-NDIS supports
- Private, DVA and insurer lines are priced from rate cards, not the NDIS price limits. Go to Billing → Pricing Schedule → Rate cards to create or check the card.
- Select Assign on the card and assign it to the participant (or to a payer) with a From date.
- When you generate invoices, each line goes to the payer of the source that funds it.
Tips
- A participant can hold several sources at the same time, but two live plans for the same source can’t overlap.
- Rate cards are looked up in this order: the participant’s card for that payer kind, then the card assigned to the payer.
If something goes wrong
Private funding needs a rate card or an agreed rate.
Enter the Private fee-for-service rate (per hour), or assign a private rate card to the participant first.
DVA funding needs the card details.
Fill in the DVA card number before continuing.
Add at least one funding source.
Every participant needs at least one ticked funding source.
