When the participant accepts a quote, convert it into a service agreement with the same supports, then send the agreement for signature.
Before you begin
- Permission to convert quotes (coordinator, operations manager and finance roles have it).
- The quote has been sent, and ideally its acceptance recorded.
Record the participant’s answer
- Go to Billing → Quotes and agreements and open the quote. Its status is Sent.
- If the participant accepted, open More and choose Record acceptance. The status changes to Accepted.
- If they declined, choose More → Record decline, enter the Reason and select Record decline.
Convert the quote
- On a Sent or Accepted quote, select Convert to service agreement in the page header.
- CompanionAxis creates a new service agreement draft with the same participant, period and supports, and opens it. The quote is marked Converted.
- Check the Schedule of supports tab and the Totals by support category against the plan budget.
- If you need to change anything, select Edit supports, update the lines and select Price supports.
Send it for signature
- On the new agreement, select Send for signature or open the E-signature tab.
- Choose Who signs and check Send to (email), then select Send for e-signature. See Sending a service agreement for e-signature.
- Once signed, the agreement’s schedule of supports sets what rostering creates and what invoicing bills.
Tips
- You can also start a service agreement directly from New… → Service agreement without a quote.
- The Next steps card on a quote tells you when conversion becomes available.
If something goes wrong
I can’t see Convert to service agreement.
The quote must be Sent or Accepted, and your role needs the convert permission. A draft quote has to be sent first.
Already an agreement.
This document is already a service agreement. Send it for signature from the E-signature tab.
Priced on a draft catalogue import.
The quote was priced on a catalogue preview. Open the Versions tab and reprice to a published Pricing Schedule version before sending the agreement.
