Making sure workers read the plan before a shift

Each new plan version can ask the workers who support the participant to read and acknowledge it. Track who has acknowledged and send reminders from the plan.

Before you begin

  • You need the Manage behaviour support plans permission to send reminders.
  • The plan version was uploaded with Ask every rostered worker to read and acknowledge the new version ticked (see Uploading a behaviour support plan and its review date).
  • Workers are rostered with the participant or work at the participant’s house.

Who is asked to acknowledge

  1. When a version is published, CompanionAxis asks the workers rostered with the participant in the next 14 days and the house team (workers on shifts at the participant’s house from four weeks ago to two weeks ahead).
  2. Each worker gets an Acknowledge a behaviour support plan notification by push and in the app.
  3. Workers who have not acknowledged get reminders 2 and 7 days later.
  4. Acknowledgement is per version: a new version asks again.

Track acknowledgements

  1. Go to Care → Behaviour support.
  2. Read the Acknowledgements outstanding tile at the top.
  3. Select the participant’s plan and scroll to Version history.
  4. Read the Acknowledged column. It shows a bar and a count, for example 5/8.

Send a reminder

  1. In Version history, select Remind workers. The button shows only while some workers have not acknowledged.
  2. You see Reminder sent to the number of workers to acknowledge the version.
  3. Follow up in person with anyone who still has not read it before their next shift.

Check what workers see

  1. On the plan, read the What workers see on shift card: Watch for (triggers), Proactive strategies, De-escalation and response and Authorised practices.
  2. Staff can also open the participant’s record and the Behaviour tab to see Known triggers, Proactive strategies and Reactive strategies.
  3. If a section says Not yet entered, the strategies have not been entered for this version.

Tips

  • Your organisation can choose who is asked (rostered workers, the house team or both) and what happens at check-in when a worker has not acknowledged (off, warn or block). The default is to warn.
  • Workers see a Behaviour support plan label on the participant’s screen in the app.

If something goes wrong

Remind workers is not showing.

Everyone asked has acknowledged, the version did not ask for acknowledgement, or you lack Manage behaviour support plans.

Only the current version of a plan needs acknowledging.

Reminders only go out for the current version. Check you are looking at the latest plan.

A worker says they can’t find the plan in the app.

Check they are rostered with the participant and that strategies are entered. Show them the plan on the web if needed.
