The operations dashboard: shifts, check-ins and open issues

Operations overview is the home screen for managers. It shows what is happening today, what needs you first, and links every figure to the screen where you can act on it.

Before you begin

  • Your role includes home.overview.view (most manager and coordinator role templates do). Without it you see “Your overview is on its way”.
  • Shifts are being rostered and checked in through CompanionAxis, so there is live data to show.

Open the overview and choose your scope

  1. Select Home in the left rail, then Operations overview. It is also the page you land on after signing in.
  2. If your organisation has several branches, use the branch switcher at the top to narrow the overview to one branch, or leave it on all branches.
  3. Read the greeting line: it says how many community shifts are rostered today and how many are running now.
  4. Use Log incident or Open roster at the top right to jump straight into those tasks.

Read the headline tiles

  1. Check Shifts running now. The line under it shows how many late check-ins are open. Select the tile to open Roster → Live shifts.
  2. Check Open shifts, next 7 days and select it to go to Roster → Open shifts and fill them.
  3. Check Hours delivered this week. The comparison underneath is against last week; select it to open the Utilisation report.
  4. If you can see financials, check Gross margin this week and select it to open the Gross margin report.

Tiles only appear when the module behind them is switched on and your role can see that data.

Work through what needs attention

  1. Read the Needs attention card. Items are ordered by urgency; red items are critical and amber items are warnings.
  2. Check the Due badge on an item to see its deadline.
  3. Select an item to open the record it is about and deal with it there. The alert clears once the issue is resolved.
  4. Select All alerts to open Home → Alerts and notifications with the full list, including My notifications and Resolved alerts.

Check care, compliance and houses for today

  1. In Care and compliance today, select the progress notes line to review notes waiting for you.
  2. Select the overdue doses line to open Care → Medication and eMAR.
  3. Select the credentials line to see expired and expiring credentials. Workers with expired screening are blocked from rostering.
  4. Select the late check-ins line to open Roster → Live shifts and follow up no-shows.
  5. In Houses today, check each house’s staffed shifts meter and select a house that shows “to check” to open it.
  6. Read This week: delivered vs rostered hours to see each day’s delivered hours against the roster.

Check budgets and NDIS claims

  1. In Budgets at risk, select a participant to open their budget forecast in People → NDIS plans and budgets, or select All budgets.
  2. In NDIS claims, check the last batch, the lines ready to claim and the percentage accepted first time over the last 90 days.
  3. Select Bulk claims to open Billing → Bulk claims and build the next batch.

Tips

  • Every number on the overview links somewhere. If you are unsure what a figure includes, select it and read the screen it opens.
  • The same figures appear in the reports, so the overview and the Utilisation report always agree.

If something goes wrong

“Your overview is on its way” instead of figures

Your role doesn’t include the operations overview. Use the menu to open your work, or ask an administrator to add home.overview.view to your role in Settings → Users and roles.

The gross margin tile is missing

It only shows to roles with financial report access (reports.financials.view).

Houses today says “No houses in your scope”

Your role is limited to a team or branch without houses, or the branch switcher is set to a branch with none. Change the branch or ask an administrator to check your role scope.
