Revenue, claims and unbilled hours

Three reports and one billing screen answer "what have we earned, what has been claimed and what has not been billed yet": Revenue, NDIS claims, Gross margin and the invoice run preview.

Before you begin

  • Your role includes financial report access (reports.financials.view) and invoice access; the Finance and Administrator role templates include both.
  • Invoices are being created in Billing → Invoices.

See revenue by payer, category or team

  1. Go to Insights → Report library and open Revenue.
  2. Choose a Period (for example This month or Financial year) and, if needed, a region, team or house.
  3. Choose how to group it in the last drop-down: By payer, By category or By team.
  4. Read the tiles: Invoiced, Paid, Outstanding (sent, part-paid or claimed invoices still owing) and Invoices (count).
  5. Check the Revenue by support category chart and the detail table, which shows each payer, category or team with its share of the total.

Track NDIS claim performance

  1. Open NDIS claims from the report library.
  2. Read First-pass acceptance against Target (your target is set in report settings).
  3. Check Days shift to cash: the average time from delivering a shift to being paid.
  4. Check Awaiting NDIA results for the value of lines submitted without a result yet, and Rejected, not yet reworked for value you still need to fix.
  5. Read the First-pass acceptance by month chart, then select a batch in the detail table to open it in Billing → Bulk claims.
  6. To fix rejected lines, go to Billing → Rejected lines.

Check margin on delivered shifts

  1. Open Gross margin from the report library.
  2. Group it By team, By SIL home or By day to see where the billed price does not cover pay cost.
  3. Compare against Workforce hours if overtime is pushing pay cost up.

Find delivered shifts that have not been invoiced

There is no separate “unbilled” report. Unbilled work shows up when you start an invoice run.

  1. Go to Billing → Invoices and select Generate from shifts.
  2. Choose the Service period (for example Last fortnight or This month to date; a run covers at most two months) and select Build preview.
  3. Wait while CompanionAxis prices and checks every line, then read the preview: every approved, delivered shift in the period that is not invoiced yet is listed.
  4. Check Lines failing a check. You can Exclude failing lines; excluded lines stay on their shift as unbilled and come back in the next run.
  5. If the page says Approve timesheets first, approve the timesheets in Time → Approve timesheets and build the preview again.
  6. Select Discard if you only wanted to see the figures, or continue to create the invoices.

The NDIS claims card on Home → Operations overview also shows how many lines are ready to claim and their value.

Tips

  • Schedule Revenue to arrive monthly in Excel for your accountant; see Exporting reports to Excel, CSV and PDF.
  • Revenue is shown in the report’s money format; finance totals always match the invoices they come from.

If something goes wrong

Revenue is lower than expected

Revenue counts invoices, not delivered shifts. Delivered work that has not been through an invoice run yet is not included; see the unbilled section above.

Revenue is not in my report library

It needs the Invoicing module plus financial report access on your role. Ask an administrator.
