Exporting reports to Excel, CSV and PDF

Get report figures out of CompanionAxis three ways: download the detail table, have the formatted report emailed as PDF or Excel, or schedule it to arrive by email. Saved views keep the filters you use most.

Before you begin

  • To use the PDF and Excel buttons on a report, your role needs reports.reports.export. To schedule, it needs reports.schedules.manage.
  • Scheduled reports depend on your plan: Starter includes none, Professional up to 20 and Premium up to 100.

Download the detail table

  1. Open the report and set the filters.
  2. In the Detail card, use Search… or sort the columns to narrow the rows if you need to.
  3. Select Export on the table toolbar.
  4. Choose the format: Excel (.xlsx workbook), CSV (any spreadsheet or system) or PDF (opens the print dialog so you can print or save as PDF).
  5. Choose All matching rows or This page, then select Export with the row count. The file downloads straight away.

Exports follow your access: hidden fields stay hidden, and each export is recorded in the audit log. The same Export button appears on most lists in CompanionAxis.

Have the full report emailed as PDF or Excel

  1. Open the report and set the period, region, team, house and grouping.
  2. Select PDF or Excel in the page header.
  3. Read the message: “Preparing the PDF. We’ll email it to you when it’s ready.” (or the Excel file).
  4. Open the email and download the file. It includes the stat tiles, charts and detail with your filters applied.

Save the filters as a view

  1. Set the filters you want to reuse.
  2. Select Save view next to the saved views list.
  3. Enter a Name, for example “North team, last quarter”.
  4. If you are allowed to share views, choose Who can use it: Just me or Everyone who can see this report.
  5. Select Save. Next time, pick it from Saved views… to apply its filters. Use the pencil or bin icons to rename or delete your own views.

Schedule a report by email

  1. Open the report with the filters you want, then select Schedule. The drawer says the report is delivered by email with the current filters applied.
  2. Check the Name, then choose How often: Daily, Weekly or Monthly.
  3. Set the Time (in your organisation’s time zone), then pick the Days for weekly or Day of the month (1 to 28, or Last day) for monthly.
  4. Choose the Format: PDF, Excel or CSV.
  5. Under Send to, keep Me ticked and add other email addresses separated by commas.
  6. Select Schedule.

Manage your schedules

  1. Go to Insights → Scheduled reports.
  2. Check the Active, Paused and Failing tiles.
  3. Use the toggle on a row to pause or resume a schedule, and Send now to send it immediately.
  4. Select the bin icon to delete a schedule.
  5. Select New schedule to schedule any report without opening it first.

Tips

  • Scheduled reports run with the owner’s access, so every recipient must be able to see the report at least as widely as the owner.
  • People inside your organisation get a secure download link; external addresses receive the headline figures only.

If something goes wrong

“Choose at least one recipient.”

Tick Me or add at least one email address.

“External recipients are off”

Your organisation does not allow sending reports outside it. An administrator can turn on external recipients in report settings; the address domain must also be on the allow-list.

“Can’t send this report outside the organisation”

Reports holding health, restricted or financial information can only go to people in your organisation. Remove the external address.

A schedule shows a failed count or Suspended

After three failures in a row a schedule is marked failing and its owner is notified. A schedule is suspended when its report’s module is switched off. Fix the cause, then use Send now or turn it back on.
