Setting up branches, regions and SIL houses

Set up the regions, branches and houses your organisation works from, so staff access, rosters, cost centres and reports follow the right site.

Before you begin

  • A role that can create sites (settings.sites.create), such as Administrator.
  • For houses: the Accommodation module switched on (the House button only shows when it is).
  • Legal entities and cost centres set up first if branches or houses bill from a different entity or cost centre.

Plan the structure

Your structure runs Organisation → regions → branches → houses. Staff, participants and reports are scoped to these sites.

  1. Go to Settings → Organisation and sites and open the Structure tab.
  2. Look at the Organisation hierarchy card. It lists each region, its branches and their houses, with staff and participant counts.
  3. Decide which regions and branches you need before adding houses. Every house belongs to a branch, and every branch to a region.

Add a region

  1. On the Organisation hierarchy card, select Region.
  2. Enter a Name and choose the State or territory.
  3. Select Save region.

Add a branch

  1. Select Add branch at the top of the page, or Branch on the hierarchy card.
  2. Enter the Name and choose the Region.
  3. Choose the Default billing entity (or leave Organisation default) and a Cost centre if you use them.
  4. Fill in Street address, Suburb, State, Postcode, Phone and Email.
  5. Select Save branch. Staff, participants and reports scoped to it update straight away.

Add a house (SIL, SDA, STA or MTA)

  1. Select House on the hierarchy card.
  2. Enter the Name and choose the Branch.
  3. Choose the Accommodation type: SIL, SDA, STA (respite) or MTA.
  4. Choose the Billing entity and Cost centre, then the address and Phone.
  5. Add the Staffing model (for example “1:3 days, active overnight”), whether there is a Sleepover room, and Opened on.
  6. Select Save house.

A house carries its residents, roster of care, sleepovers and vacancies.

Edit or remove a site

  1. Select the pencil icon next to a region, branch or house.
  2. Change the details and select Save region, Save branch or Save house.
  3. To delete a region or branch, open it and select Remove region or Remove branch. Houses can’t be removed here.

Tips

  • Use Consolidated reporting on the same page to compare sites By region, By branch or By house.
  • Give staff site-limited roles once the sites exist. See Configuring roles and permissions.
  • Moving a participant between houses or branches keeps one record with their plan, notes and history.

If something goes wrong

Add branch opens an upgrade dialog

Your plan’s branch allowance is used up. Upgrade from the dialog or Settings → Plan and billing, or archive an unused branch.

There is no House button

The Accommodation module is off. An Administrator can switch it on in the Modules tab if your plan includes it.

A save fails with a highlighted field

Fix the field shown in red (for example a missing name or region) and save again.

Someone changed the site while you were editing

Close the panel, reopen the site to load the latest version, and make your change again.
