Recurring shifts and the master roster

Set up supports that repeat every week or fortnight, change or end a series later, and keep a master roster (template) per house or participant that you roll forward into draft shifts.

Before you begin

  • Create shifts to create a series. Edit shifts to change or end one.
  • Manage roster templates to save templates, and Apply roster templates to roll them forward.

Create a repeating shift

  1. Go to Roster → Roster board and select New shift.
  2. Fill in the participant, date, times, support item and worker as for a single shift (see Creating a shift and assigning a support worker).
  3. Under Repeat, choose Weekly, Fortnightly or Chosen days. For chosen days, select each weekday the shift repeats on.
  4. Set Until to the last date of the series. The panel shows how many shifts will be created, and the cost estimate is multiplied by that number.
  5. Select Save as draft or Save and publish.

CompanionAxis creates the individual shifts up to 12 weeks ahead by default and adds more each night until the series ends. If any occurrence fails a blocking check (for example the worker is already booked on one of the dates), nothing is saved and you are told which dates failed.

Change every shift in a series from a date

  1. Open any shift in the series from the board, then select Full shift record.
  2. Open the More menu and select Change the series.
  3. Set From (today or later), then change Start, Finish or Instructions.
  4. Select Change from with the date shown. Future shifts in the series are updated; shifts you already changed one by one keep their own changes.

End a series

  1. On a shift record in the series, open More and select End the series.
  2. Set Last day.
  3. Select End the series. Later draft shifts are deleted, and later published shifts are cancelled by the provider and their workers told.

Save a week as a master roster template

  1. Go to Roster → Roster templates.
  2. Select Save a week as a template.
  3. Under For, choose A house or A participant, then pick the house or participant.
  4. Set Week starting and the Cycle (1 week, 2 weeks or 4 weeks), and optionally a Name.
  5. Select Save template. The shifts in that period become the template’s slots, each with its usual worker.

Roll templates forward into draft shifts

  1. On Roster → Roster templates, set Roll forward to A week, A fortnight or A month, and the from date.
  2. Select Roll forward on one template, tick several and select Roll … forward, or select Roll all forward.
  3. Alternatively, on the roster board select Apply template, choose a template, the Starting week and period, and select Roll forward.
  4. New shifts arrive as drafts. Workers keep their usual lines where they are free; anything that fails a check is left open. Review and publish them on the roster board.

Undo a roll-forward

  1. After rolling forward, a blue notice shows how many draft shifts were created and until when it can be undone.
  2. Select Undo to remove those drafts, or Dismiss to hide the notice.

A roll-forward can be undone once, within 24 hours, and only while none of its shifts have been published or changed.

Tips

  • Select a template row to see its slots: day, time, type, ratio, participants and usual worker.
  • The Rolled forward to column shows the last day each template has filled, so you can see which houses still need next month.

If something goes wrong

Undo says “Applications can only be undone once, within 24 hours.”

The undo window has passed. Delete or cancel the unwanted shifts on the roster board instead.

Some rolled-forward shifts are open instead of assigned

The usual worker failed a check on that date (leave, another booking, a credential). Assign someone else from the shift panel or broadcast it from Roster → Open shifts.

A template can’t be applied: “Archived templates can’t be applied.”

Only active templates can be rolled forward. Save a new template from a recent week.
