Use the cost and revenue figures on the roster board, the budget and service agreement checks on each shift, and the publish preview to catch over-budget or unprofitable supports before workers are told.
Before you begin
- View roster costs to see wage cost, revenue and margin.
- Participants have their NDIS plan and budgets entered, and signed service agreements where you use them.
Read the week’s cost on the roster board
- Go to Roster → Roster board and choose the week or fortnight.
- Read the Wage cost (est.) and Margin tiles at the top. The wage cost tile also shows the revenue.
- Scroll to Cost preview, the estimated award cost for the shifts in view before publishing. Switch between House, Participant and Worker to see where the cost sits.
- Read Hours by pay type for the hours at each penalty rate, with total wage cost and revenue.
Check each shift against the participant’s budget
- Select Flagged on the board to list shifts with check warnings.
- Open a shift and read the checks. Budget insufficient means not enough budget is left for the support; Outside plan dates means no plan covers the date.
- No service agreement and Item not in agreement warn when the support isn’t covered by a signed agreement; Over price limit warns when the agreed rate is above the price limit.
- Read Cost vs revenue in the shift panel. A red margin means the shift costs more than it earns.
Whether budget problems warn or block depends on your organisation’s budget check setting.
Prevent problems while building shifts
- In New shift, choose a line under From service agreement. It shows the hours left on that line.
- Read Cost estimate vs revenue in the panel. For repeating shifts it is multiplied by the number of shifts.
- Until a worker is chosen, the cost is estimated at the default classification.
Review before publishing
- Select Publish roster. The window lists the drafts and changed shifts and how many workers will be notified.
- If shifts have blocking checks, they are listed with links. Fix or override them on each shift; Publish stays disabled until they are cleared.
- Select Publish (or Send for approval if your branch needs approval).
Tips
- Costs include penalty rates and allowances from your pay rules. Your organisation can add on-costs such as super to the preview.
- Compare rostered and funded hours over time with Utilisation: rostered versus funded hours by participant.
If something goes wrong
You can’t see cost, revenue or margin
You need View roster costs. Without it the tiles show Unpublished and Check warnings instead.
Revenue shows a dash
Some shifts have no support item or no price. Add the support item on the shift; revenue is then calculated.
Budget insufficient appears but the plan has funds
Committed shifts count against the budget. Check the participant’s budget burn-down, and that the support item is in the right category.
