Set the legal details printed on every invoice (ABN, GST registration, address, bank account, invoice numbering) and the logo and footer that brand the PDF.
Before you begin
- Permission to manage legal entities and branding (Administrator).
- Your ABN, NDIS registration number and bank details.
Set the legal entity details
- Go to Settings → Organisation and sites and open the Legal entities tab.
- Open the entity that issues invoices.
- Check Legal name, ABN (checked against the ABN Lookup after saving), ACN and NDIS registration number.
- Set GST to Registered for GST or Not registered.
- Set Invoice prefix and Next invoice number.
- Fill in Registered address, Suburb, State, Postcode and Remittance email.
- Under Bank account for remittances, enter BSB, Account number and Account name. Changing bank details asks you to confirm it’s you.
- Select Save entity.
Brand the invoice PDF
- Go to Settings → Branding.
- Upload your Logo and set your colours.
- Under Emails and documents, fill in the Document footer, which is printed on invoices, statements, care plans and reports, and the Legal line.
- If another entity issues invoices, choose it at the top of the page to give it its own branding.
Check GST on lines
- NDIS lines are GST-free.
- For private, DVA and insurer lines, the rate card’s GST setting decides the treatment, and each item can carry its own GST code (P1, P2 or P5).
- Open any invoice and select the PDF preview tab to check the result.
Tips
- Each legal entity has its own ABN, NDIS registration, invoice numbering and bulk claim files.
- Registration status changes are recorded with an effective date, so past invoices keep the price limits that applied.
If something goes wrong
The ABN is refused.
An ABN is 11 digits and must pass the checksum. Check for a typo.
Used by issued invoices.
A registration period with issued invoices can’t be changed. Record a new period from the date instead.
Invoices still show the old logo.
PDFs are generated when viewed or sent; reopen PDF preview. Check the right entity is chosen on Settings → Branding.
