Create a claim batch and the bulk payment request CSV in the NDIA format in force today, ready to upload.
Before you begin
- Permissions to create batches, generate files and export them (Finance role).
- The lines have passed the pre-submission checks.
- Your Claiming details show the right registration number and ABN.
Create the batch and file
- In New bulk claim, after the checks pass, select Create batch and generate the file.
- CompanionAxis creates the batch, validates it again and writes the file. You land on Generate file.
- If the batch needs approval, you are taken to the batch page instead. Select Send for approval and generate the file once it is approved.
Check and download the file
- On Generate file, read File summary: batch, rows, total claimed, registration number, ABN and format.
- Scroll the Bulk payment request file preview to check the rows.
- Select Download to save the CSV. Large batches are split into parts, each with its own download button.
- Select Upload to the portal to see the upload steps.
Don’t open and re-save the file in a spreadsheet before uploading: that can change dates and hours.
Work from an existing batch
- Open the batch from Billing → Bulk claims (the Batch history table or the pipeline).
- A Draft batch shows Validate batch; a Validated batch without a file shows Generate file.
- Once generated, Download file is in the header and the Bulk file tab shows the preview. The file is then frozen.
- To start again, select Cancel batch, give a reason, and the lines go back to the candidates.
Tips
- Every batch keeps its lines, file, upload time and results for 7 years.
- Edit the Claim reference prefix and overrides in Claiming details on Billing → Bulk claims.
If something goes wrong
Registration shows a dash in the File summary.
The entity has no NDIS registration number. Add it in Settings → Organisation and sites → Legal entities, or as an override in Claiming details.
The batch failed validation again.
Something changed since the checks. Open the batch, fix the lines listed under lines need attention, or select Hold back failing.
