The NDIS Worker Screening Check is a required credential for every worker in a risk-assessed role. CompanionAxis records the clearance number, issuing state and expiry, reminds the worker before it lapses and blocks them from participant shifts without a current check. This tutorial covers recording and verifying it.
Before you begin
- The Verify credentials permission (credentials.credentials.verify). You can’t verify your own upload.
- The check is required for the worker’s position in Requirements by position.
How the check is set up
- Go to Team → Screening and credentials and open Requirements by position.
- Find the NDIS Worker Screening Check row. It shows a renewal of 60 months and reminders 90, 60 and 30 days before expiry.
- Make sure the toggle is on for every position that works with participants.
This check blocks all participant shifts when it is missing or expired, and it can never be overridden for a shift.
The worker uploads their check
- During onboarding, the worker completes the NDIS Worker Screening Check step with the number, issuing state, expiry date and a photo.
- An existing worker opens More → My credentials in the app, taps Add a credential, enters the type, number and expiry, adds a photo and taps Send for verification.
Verify the check
- Go to Team → Screening and credentials and open the To verify tab. Select Review on the check.
- Select the file under Evidence to open it.
- Check the clearance in the NDIS Worker Screening Database.
- Confirm or correct the Number, Issuing state, Issued and Expires dates.
- Under How you checked, choose NDIS Worker Screening Database and add the Reference (optional) from your search.
- Select Verify. Any rostering block the missing check caused is lifted.
Send it back or reject it
- If the photo is unreadable or details don’t match, write what to fix under Or send it back.
- Select Return to worker so they can upload again, or Reject if it can’t be accepted.
- The worker sees the reason in the app.
Check a worker’s status
- Open the worker from Team → Staff directory and go to the Credentials tab.
- Read the status (Pending verification, Verified, Expired, Returned, Rejected), who verified it and the expiry.
- On the Overview tab, Rostering eligibility shows whether the check blocks rostering.
Tips
- Clearance renewal is your worker’s responsibility, but reminders go to both the worker and their manager by default.
- Use the matrix view Blocked to see everyone who can’t be rostered.
If something goes wrong
Verify fails with an error on Expires
The NDIS Worker Screening Check needs an expiry date. Enter it from the clearance.
Say why, so the worker knows what to fix.
Write a reason of at least 3 characters before returning or rejecting.
A manager can’t override the block for one shift
The NDIS Worker Screening Check can’t be overridden. Verify a current check, or roster someone else.
