How CompanionAxis works out what’s spent, committed and remaining in an NDIS budget, and what to check when the number looks wrong.
Before you begin
- Access to People → NDIS plans and budgets and the participant’s Funding tab.
Know what each figure means
- Spent (delivered): supports delivered (or invoiced, if your organisation counts on invoice), plus any opening balance and manual adjustment.
- Committed (rostered): published shifts not yet delivered. Committing happens when a roster is published and is released when a shift is cancelled or moved.
- Remaining in the category table is the allocation minus spent. Committed is not taken off it.
- The Committed (rostered) tile shows what’s left after committed shifts too (“uncommitted”).
Check the plan dates and categories
- Open People → NDIS plans and budgets and the Plan dates tab.
- Check the service dates fall inside the current plan. Supports outside the plan dates aren’t counted against it.
- Check the shift’s support item is in a budget line (item, category or flexible group). Otherwise it isn’t counted.
Check what was spent before you moved
- If the plan started before you used CompanionAxis, check an opening balance (spent to date) was loaded.
- Without it, the budget shows more remaining than the participant really has.
- Ask support to import opening balances, or record a manual adjustment.
Check unapproved and uninvoiced work
- Shifts count as spent when delivered (completed). Shifts still in progress are committed.
- If your organisation counts on invoice, approve timesheets and generate invoices to move amounts from committed to spent.
- Credits on invoices reduce the spent amount.
Tips
- Balances are recalculated on every change and again overnight.
- Use the Overspend alerts tab and Adjust roster when committed shifts exceed what’s left.
If something goes wrong
The tile and the table show different remaining amounts
The tile subtracts committed shifts; the table’s Remaining column doesn’t. Both are correct for what they measure.
“An adjustment to this budget is waiting for approval.”
A manual adjustment above your organisation’s threshold is in the Approvals inbox. Approve or decline it first.
Spent says delivered but you count on invoice
The tile label is fixed; the figure follows your setting Count budgets as spent when supports are.
