Keep your organisation’s name, contact details, logo and legal identifiers correct. They appear on invoices, emails, the sign-in page and the family portal.
Before you begin
- A role that can update the organisation (
settings.organisation.update) and legal entities (settings.entities.update), such as Administrator. - For the logo: a role that can manage branding (
settings.branding.manage) and a plan that includes branding.
Edit the organisation profile
- Go to Settings → Organisation and sites.
- Select Edit profile. The Organisation profile panel opens.
- Update Legal name, Trading name and Time zone.
- Fill in Primary contact, Contact email, Contact phone, Support email (replies from families and payers go here) and Website.
- Complete the address, Financial year starts (MM-DD) and Week starts on.
- Select Save profile.
If you change the time zone, “today”, shift days and deadlines follow the new zone for sites without their own.
Add your logo and colours
- Go to Settings → Branding.
- Check the Name shown in the app, browser tab, emails and sign-in page.
- Under Logo, upload a Logo, a Logo for dark backgrounds and a Square icon (favicon, app). Use PNG, JPEG or WebP up to 2 MB.
- Under Colours, pick a preset or enter your Main colour and Accent. Colours that are hard to read are adjusted, and the change is shown.
- Select Save branding. Emails, documents and the apps use it from then on.
Add your ABN and NDIS registration
- Open the Legal entities tab and select Add entity (or Edit on an existing entity).
- Enter the Legal name, ABN (11 digits) and, if you have one, ACN.
- Choose GST (Registered for GST or Not registered).
- Enter the NDIS registration number. It is used in bulk payment request files.
- Fill in Registration expires, Registration groups (four-digit numbers separated by commas, for example
0104, 0115) and tick the States registered in. - Set the Invoice prefix and Next invoice number if this entity invoices separately, then select Save entity.
- After saving, the ABN is checked against the ABN Lookup. Select Check ABN in the Registration card to run it again.
Record a change in NDIS registration
- Open the entity and scroll to the Registration card.
- Choose the New status: Registered, Unregistered, Registration pending, Lapsed or Revoked.
- Enter when it Takes effect, an optional Expires date and a Note.
- Select Record registration change. Price limits follow the new status from that date; past invoices keep the limits that applied.
Tips
- If you have more than one legal entity, the branding page shows a switch at the top. Choose an entity to give its invoices and agreements their own look; blank fields fall back to the organisation’s brand.
- Mark one entity as Default entity. New branches and invoices use it unless a site says otherwise.
- Bank details are write-only. Changing them asks you to confirm it’s you.
If something goes wrong
The ABN is rejected
An ABN has 11 digits and must pass the ABN checksum. Copy it from the ABN Lookup and save again.
Branding shows “Branding isn’t part of your plan”
Your plan uses the CompanionAxis look. Your organisation’s name still shows everywhere. Check Settings → Plan and billing for plans that include branding.
The save fails because someone else changed the record
Close the panel, reopen it to load the latest version, and save again.
