Preparing restrictive practice use reports for the NDIS Commission

Compile the monthly report of restrictive practice uses from what was recorded, check it, export the CSV for the NDIS Commission and mark it submitted.

Before you begin

  • You need the Monthly restrictive practice reporting permission (Quality and compliance and Administrator roles by default).
  • Uses for the month are recorded and reviewed (see Recording use of a restrictive practice on shift).
  • To compile a report for an entity you also need to be able to see your organisation’s entities.

Compile the month’s report

  1. Go to Care → Restrictive practices and open the Monthly reporting tab.
  2. Choose the month at the top left. You can pick from the last three months; the previous month is selected by default.
  3. If a blue box says No report yet for an entity, select Compile for that entity. You see Report compiled from the recorded uses.
  4. If your organisation has more than one entity, choose the entity from the drop-down next to the buttons.

Check the figures

  1. Read the Uses by participant and practice table: Participant, Practice (with Routine or PRN), Uses, Minutes, Unauthorised and Injuries.
  2. Check the Uses by practice type chart and the line under it with total uses, unauthorised uses, the entity and when it was compiled.
  3. If a yellow box says Uses were recorded or changed after this report was compiled. Recompile before submitting., select Recompile. You see Report recompiled.
  4. Follow up any unauthorised use that has no incident yet (see Unauthorised use of a restrictive practice as a reportable incident).

Export and submit

  1. Select Export CSV. When it is ready, a file named restrictive-practice-report-YYYY-MM.csv downloads and you see Monthly report exported for the NDIS Commission.
  2. Submit the report to the NDIS Commission through the Commission’s own portal.
  3. Back in CompanionAxis, select Mark submitted. You see Marked as submitted to the NDIS Commission and a green Submitted to the NDIS Commission badge replaces the buttons.

Tips

  • Each month, Quality and compliance staff get a Restrictive practice report due reminder on the 5th, unless your organisation changed the day.
  • Uses recorded after you mark a report submitted are not added to it. Check the Uses tab for late records before you submit.
  • The Uses tab shows In monthly report once a use has been reported.

If something goes wrong

Export CSV is greyed out.

The report is still a draft. Select Recompile first.

Mark submitted is greyed out.

It works only on a compiled report. Recompile, then try again.

Export not ready: The export is still being prepared. Try again in a minute.

Large months take longer. Wait a minute and select Export CSV again.

No report compiled, and the message asks someone who can see your organisation’s entities to compile it.

Ask an administrator or someone with entity access to select Compile for once. After that you can recompile and export.
