Give an external behaviour support practitioner secure access to the participants they support, so they can upload plans and review restrictive practice data, with the participant’s consent recorded.
Before you begin
- You need the Manage behaviour support plans permission.
- Your plan includes the care network module, which external access runs through.
- The participant already has a behaviour support plan in CompanionAxis.
- Consent to share has been given and you know who gave it and how.
Invite the practitioner
- Go to Care → Behaviour support and scroll to the Practitioner access card.
- Select Invite practitioner. The Invite a behaviour support practitioner window opens.
- Enter the Name, Email and Organisation.
- Set Access until. It defaults to one year from today.
- In Participants, choose the participants they support. Only participants who already have a plan are listed.
- Under Access, tick what they can see: Upload and update behaviour support plans and Restrictive practice use data are ticked by default; you can add Incidents involving the participant and Progress notes (summaries).
Record consent and send
- Choose Consent given by: The participant, Nominee, Guardian, Parent or Someone else.
- Choose How consent was given: Signed form, E-signature, Verbal, Portal or Online form.
- Add a Consent note, for example
Signed consent form on file, 3 November. - Tick I confirm consent to share this information has been given and recorded.
- Select Send invitation. You see Invitation sent. Access is limited to the participants you chose.
Check who has access
- Read the Practitioner access table: Practitioner, Participants, Can access, Access until and Status.
- Use the Type filter to show Employed or External practitioners.
- Employed practitioners appear automatically for the plans they author, with access to Plans they author.
- Plans uploaded by an external practitioner show External practitioner in the plan’s Version history.
Tips
- Access ends automatically on the Access until date, and the row shows Expired.
- For the plan review, the restrictive practice Uses tab and the Monthly reporting tab can be exported with Export.
- With the Axis AI add-on, the plan detail shows a Behaviour trend summary of the last 90 days that a person checks and approves. Without it, the card shows it is coming soon.
If something goes wrong
The participant is not in the Participants list.
Only participants with a behaviour support plan are listed. Upload the plan first.
Send invitation is greyed out.
Name, email, at least one participant, at least one access option and the consent confirmation are all needed.
An error says the access date must be after today.
Choose an Access until date in the future, or leave it empty.
I need to remove a practitioner’s access early.
There is no revoke button on this card yet. Ask your administrator to end the access.
