Setting budgets by support category and support item

Enter the amount in each NDIS support category of the plan so CompanionAxis can track spending, warn before a budget runs out and check invoices against what is funded.

Before you begin

  • The intake permission (to enter budgets in the participant wizard).
  • The plan dates and funding management type are entered (see Entering an NDIS plan).
  • The plan summary showing the funded amount per support category.

Enter the category budgets

Budgets are entered on step 2, Plan and funding, of the participant wizard. The list of support categories comes from the NDIS Pricing Schedule version in force on the plan start date.

  1. Open the wizard: a new participant, or More actions → Edit details on an existing record, then go to Plan and funding.
  2. Make sure NDIS is ticked under Funding sources. The NDIS budgets by support category section appears.
  3. Type the dollar amount next to each category that is funded, for example Core – Assistance with Daily Life or Capacity Building – Support Coordination. Leave unfunded categories empty.
  4. Check the Total at the top right of the section matches the total on the plan.
  5. Select Continue, then finish the wizard to save the budgets to the plan.

If the plan has one flexible Core budget, enter it against Core – Assistance with Daily Life. Core items in the transport, consumables and social participation categories draw on the same core budget.

Check the budgets on the participant record

  1. Open the participant and select the Funding tab.
  2. In Budgets by support category, check each row: Allocated, Delivered, Invoiced, Rostered, Remaining and Forecast at end.
  3. Read the status badge on the right of each row: On track, Spending fast, Underspending or Will overspend.
  4. To see every participant’s budgets at once, go to People → NDIS plans and budgets and open the All budgets tab. Filter by Category, Funding source, Management or Pace, and use the export button to download the list.

How budgets are used elsewhere

  1. When you build a quote, the Totals card compares each category against what is left in the plan (see Creating a quote from the NDIS Support Catalogue).
  2. When you generate invoices, the Plan budget and Support item in the plan checks flag lines that have no funded budget.
  3. Delivered and rostered shifts draw down the budget as they happen, which drives the forecast and alerts.

Tips

  • Unspent funds don’t roll over between plans. Enter this plan’s amounts only.
  • Budget amounts can’t be negative; the wizard refuses a negative number.

If something goes wrong

A category I need isn’t listed in the wizard.

The list follows the Pricing Schedule in force on the plan start date. Check the Plan start is right. If the catalogue can’t be read, a short fallback list of common categories is shown; contact support if a category is missing.

This budget has spending or rostered supports against it, so it can’t be removed.

A budget line that has been used can’t be deleted. Change its allocation instead.

Budgets of an ended or superseded plan can’t be changed.

Only draft and current plans can be edited. Record the change on the current plan.
