Prepare for a reassessment with a plan review pack, then record the new plan so it takes over from the old one on its start date without breaking rosters or invoices.
Before you begin
- The intake permission to record the new plan; permission to manage plan reviews to prepare a review pack.
- The new plan’s start and end dates, management type and category budgets.
Prepare for the reassessment
- Go to People → NDIS plans and budgets → Plan dates. Plans are grouped into Within 30 days, 31 to 60 days and 61 to 90 days; reminders go to the coordinator automatically at 90, 60 and 30 days.
- Select Review pack next to the participant. The drawer shows budget used, goals on track and progress evidence from shift notes.
- Select Prepare review pack. The pack is built in the background; when it is ready, select Download pack and share it with the participant and their support coordinator.
- You can also prepare it from the participant’s Funding tab, in the Plan review card.
Record the new plan
- Open the participant’s record, select More actions (three dots) and choose Edit details.
- Go to step 2, Plan and funding, and enter the new Plan start, Plan end, Funding management type and category budgets.
- Go to the last step and select Save changes. The new plan becomes current. The old plan is marked Superseded and its end date moves to the day before the new plan starts.
- Open the Funding tab and check the new budgets. The old plan appears under Plan history, with a note that unspent funds don’t carry over.
Tidy up rosters, agreements and invoices
- Check Billing → Quotes and agreements for the participant’s service agreement. Use More → Draft a renewal (or Vary the agreement) so the agreement matches the new plan.
- If shifts were rostered past the old plan’s end, CompanionAxis raises an alert about supports outside the plan dates. Review them on the roster.
- When you next generate invoices, check the Plan dates tile and the Not included list. Lines dated in a gap between plans show No plan or payer covers the date.
Tips
- If the management type changes (for example from NDIA-managed to plan-managed), invoices from the new start date go to the new payer automatically.
- Rejected NDIS claim lines caused by the old plan ending can be redirected to another payer from Billing → Rejected lines.
If something goes wrong
Plans overlap: Another current plan for this funding source starts on or after this one.
The new plan’s start date is on or before the current plan’s start. Check the dates; a new plan must start after the plan it replaces.
Already preparing.
A review pack is being built. Wait a minute and reopen the drawer.
The Review pack drawer has no Prepare button.
No plan review is open for that plan yet, or your role can’t manage reviews. Ask a coordinator or operations manager.
