Creating a quote from the NDIS Support Catalogue

Build a quote in three steps: scope, schedule of supports and review. CompanionAxis prices every support from the NDIS Pricing Schedule and checks it against the participant’s plan.

Before you begin

  • Permission to create quotes (coordinator, operations manager and finance roles have it).
  • Permission to view the pricing catalogue, so the support item list loads.
  • The participant exists; for the budget comparison, their plan and budgets are entered.

Set the scope

  1. Go to Billing → Quotes and agreements.
  2. Open the New… menu and choose Quote. (The same menu offers SIL quote with Roster of Care, Service agreement and Service proposal.)
  3. Choose the Participant.
  4. Leave Pricing Schedule version on In force on the start date, or pick a specific version.
  5. If templates exist, choose a Template for the terms, cover letter and starting supports.
  6. Set Start and End (the end defaults to one year), and list the Needs and goals, one per line.
  7. Select Create draft and add supports. The quote is saved as a draft.

Add the schedule of supports

  1. In Schedule of supports, select Add support.
  2. Choose a Support item: search by code or name. Each option shows its category and price limit.
  3. Enter the quantity Per week and the number of Weeks (leave Weeks empty for the whole period).
  4. Leave Your rate empty to use the price limit, or enter a lower rate.
  5. Repeat for each support, then select Price supports. The server saves the lines and shows the rate, limit and total for each.
  6. Read the Totals card on the right: each category is compared with what is left in the participant’s plan.

Review and send

  1. Select Review. Check the type, number, period, pricing version and total.
  2. Select Preview PDF to see the document.
  3. Choose who receives it under Who signs and Send to (email), then select Send quote, or Keep as draft.
  4. If a warning says the value is above the approval threshold, select Submit for approval instead. It can be sent once approved in the approvals inbox.

Tips

  • A rate above the price limit is refused. To charge less than the limit, enter the lower rate in Your rate.
  • If a new Pricing Schedule version is scheduled within the quote period, a warning explains that spanning quotes are priced at the lower of the two limits. Reprice later from the Versions tab.

If something goes wrong

Above the price limit.

The rate you typed is higher than the limit for that item. Lower it or leave Your rate empty.

Choose a support item.

A line has quantities but no item. Pick the item or remove the line with the bin icon.

A category shows Not funded in this plan or Exceeds remaining budget.

The participant has no budget, or not enough, in that category. Reduce the hours, use an item in a funded category, or talk to the participant about a plan review.

The Review button is greyed out.

You have unpriced changes, or no lines yet. Select Price supports first.
