Each portal user sees only the areas the participant has agreed to share with them. This article shows how to check and change that, from the staff side and in the app.
Before you begin
- A role that can set portal sharing (
portal.sharing.manage) and preview the portal (portal.preview.view). - The participant’s consent for any change you make on their behalf.
Preview what a portal user sees
The family portal is a paid add-on and is still marked as a preview in CompanionAxis. The steps below are what the product does today; check with your account manager that it is switched on for you.
- Go to People → Participant and family portal.
- Choose the participant in the box at the top right.
- Switch between As <name> (the participant’s own view) and As a family member.
- Read the area cards. Shared areas show live records; locked areas say they are not shared with family.
- Check the count of areas visible at the top.
Change what family can see
- On the same page, find What family can see.
- Tick or untick Rosters, Shared notes, Goals, Budgets, Invoices and Service agreements.
- Each change saves straight away and is recorded as made on the participant’s behalf.
These switches set the most any family member can see. Each person also only sees the areas they were invited to.
How the participant changes it in the app
- The participant, or their nominee or guardian, opens the menu (their initials at the top right) and selects Sharing and invitations.
- They switch areas on or off: Upcoming shifts, Shared updates, Goals, Budget, Invoices, payments and statements and Agreements and documents to sign.
- They select Save sharing.
- Under People with access they can Invite family or remove someone.
Withdraw sharing completely
- On the participant’s record, open the Overview tab and find the Consent register.
- Select Withdraw on the Family portal consent and give a reason.
- Remove portal users who should no longer have access from the Network tab.
Tips
- Review sharing at each plan review, and whenever the participant’s circumstances change.
- A family member never sees health, behaviour support or restricted records through the portal; only the six areas above.
If something goes wrong
A family member says an area disappeared
Sharing was switched off for that area, so the app hid its tab. Check What family can see and their invited areas.
“Only the participant can change this”
In the app, only the participant, a nominee or a guardian can change sharing. Family members ask them, or ask you.
The preview says the portal isn’t switched on, or your role can’t preview it
The add-on is off, or you lack portal.preview.view. Ask an Administrator.
