Signing service agreements in the portal

Send service agreements for e-signature and let the participant or the person who signs for them sign in the app, by typing their name or drawing a signature.

Before you begin

  • The portal user has the Service agreements area.
  • A role that can send quotes and agreements (quotes.quotes.send).
  • The participant’s consent to sign electronically.

Send the agreement for signature

The family portal is a paid add-on and is still marked as a preview in CompanionAxis. The steps below are what the product does today; check with your account manager that it is switched on for you.

  1. Go to Billing → Quotes and agreements and open the service agreement.
  2. Check it, then select Send for e-signature.
  3. Track it on People → Connected care network, tab Service agreements, which lists agreements sent for e-signature and their status.

How they sign in the app

  1. In the app, Home shows how many documents are waiting for their signature.
  2. They open Documents. Waiting for your signature lists each one, with Sign by if there is a deadline.
  3. They select Read the agreement to open the PDF.
  4. They choose Type my name (and type their full name) or Draw (and sign with a finger).
  5. They tick I agree to sign this document electronically, and that my electronic signature is as valid as signing on paper.
  6. They select Sign. The app says “Signed. Thank you.”

After signing

  1. The document moves to Signed and past documents in the app, showing the date they signed.
  2. The agreement’s status updates in Billing → Quotes and agreements.
  3. Signed agreements stay under Service agreements in the app for later reference.

Tips

  • Agree how and by when the agreement will be signed before you send it, so the person isn’t surprised by a deadline.
  • If the person can’t use the app, they can sign from the link in the email instead.

If something goes wrong

The app says “This document has to be signed from the link in your email.”

That document wasn’t set up for signing in the app. Ask them to use the email link.

Sign is disabled

They need to type their name or draw a signature, and tick the agreement box.

The document isn’t in the app

Check the portal user has the Service agreements area and that the agreement was sent.
