Welcome to CompanionAxis: an overview for new users

CompanionAxis runs your NDIS services from one participant record: a web app for the office and an app for support workers. This overview explains how the pieces fit and where to start for your role.

Before you begin

  • A CompanionAxis account. Staff are invited by an administrator; founders create one with a free trial.
  • A current browser (Chrome, Edge, Safari or Firefox) for the web app.

Understand the two apps

Everyone works from the same records, so a shift a coordinator publishes is the shift the worker checks in to, and the check-in becomes the timesheet and the invoice.

  1. Use the web app for office work: rostering, participants and plans, notes review, timesheets, invoicing and claims, incidents and settings.
  2. Use the support worker app (iOS and Android) for work done during a shift: viewing shifts, checking in and out, progress notes and incident reports.
  3. Sign in to both with the same email and password. Your organisation decides whether a second sign-in step (two-step verification) is required for your role.

Learn the main areas of the web app

The icon rail on the left holds the modules. Each opens a side panel of pages.

  1. Home: your Operations overview, the Approvals inbox, Alerts and notifications and the Toolkit.
  2. Roster: the Roster board, Open shifts, Live shifts, Roster templates, Availability, Leave requests and Support worker app settings.
  3. Time: Approve timesheets, Exceptions, Travel and kilometres, Pay runs and export and SCHADS pay rules.
  4. People: All participants, Referrals and intake, NDIS plans and budgets, Care plans and goals and the Connected care network.
  5. Care: Progress notes, Medication and eMAR, Health and high-intensity, Behaviour support and Restrictive practices.
  6. Billing: Invoices, Payment plans, Payments and payers, Bulk claims, Rejected lines, Pricing Schedule, Quotes and agreements and Plan management.
  7. Quality, Team, Insights, Messages and Settings hold safeguarding and compliance, your workforce, reports, messaging and organisation settings. Homes (SIL and accommodation) appears when your plan includes it.

Know why some menus are missing

  1. Check your plan: pages for modules your plan doesn’t include are removed from the rail and side panel. An administrator can see what’s on in Settings → Organisation and sites on the Modules tab.
  2. Check your role: what you can open and change comes from your role, and its scope (organisation, region, branch, house, caseload or your own shifts) decides which records you see.
  3. Look for the Soon badge: pages marked Soon are working previews of features that are still being finished.

Start in the right place for your role

  1. Administrators: follow the Getting started checklist in the bottom-right corner, or read Your first week on CompanionAxis.
  2. Coordinators: open Roster → Roster board and People → All participants.
  3. Finance: open Time → Approve timesheets and Billing → Invoices.
  4. Support workers: install the app from the invitation you receive and sign in with your work email.

Tips

  • Press Ctrl+K (Cmd+K on a Mac) anywhere in the web app to search for participants, workers, houses and pages.
  • The top bar shows where you are, for example Rostering and scheduling › Open shifts.

If something goes wrong

A module a colleague uses isn’t in my rail

Your role or scope doesn’t include it, or you hid it. Select the pencil (Customise navigation) in the top bar and choose Show all. If it still isn’t there, ask an administrator to check your role in Settings → Users and roles.

I see “Your overview is on its way” on the dashboard

Your role doesn’t include the operations overview. Use the rail and side panel to open your work, or ask an administrator whether your role should include it.
