A practical order for setting up CompanionAxis in your first week, from securing your account to publishing your first roster. Each day maps to items in the Getting started checklist, which ticks itself off as you go.
Before you begin
- You are an Administrator (the person who signed up is one automatically).
- Your ABN, NDIS registration number and registration groups to hand.
- A list of staff emails and the participants you’ll start with.
Day 1: finish the set-up wizard and secure your account
Right after sign-up the set-up wizard opens. Every step except subscribing can be skipped and finished later.
- Work through Your organisation: Name people see, Time zone, ABN (optional now) and Are you a registered NDIS provider?. Select Save and continue.
- In Make it yours, add your logo and colours, or skip to keep the CompanionAxis look.
- In Your web address, check the address your team will sign in at and select Continue with this address.
- In Invite your team, add a few people now or select Skip for now. Then select Go to my dashboard.
- Open the Getting started checklist (bottom right) and select Set up two-step verification under Secure your account.
Select Finish later to leave the wizard at any time. The checklist then shows Continue set-up.
Day 2: your legal entity, registration and branches
- Go to Settings → Organisation and sites and open the Legal entities tab.
- Edit your default entity and complete the ABN, NDIS registration number, registration groups and invoice details. See Setting up your organisation.
- Open the Structure tab and rename Main branch or add your real branches with their addresses.
Day 3: invite your office team and workers
- Invite coordinators, finance and team leaders from Settings → Users and roles with Invite user.
- Invite support workers from Team → Invites and onboarding with Invite worker or Bulk invite, so they complete onboarding on their phone.
- Check the Invitations tab the next day and Resend any that haven’t been accepted.
Day 4: add participants and their plans
- Go to People → All participants and select Add participant.
- Complete the intake steps, from Details and NDIS number to Services and agreement, and select Create participant.
- Repeat for the participants you’ll roster first. For a larger list, see Importing participants and staff.
Day 5: publish your first roster and get a worker into the app
- Go to Roster → Roster board, create shifts for next week and publish them.
- Make sure at least one worker has signed in to the support worker app. The checklist item Get a worker into the app ticks when they do.
- Review Roster → Support worker app to set the check-in and check-out rules before the first shift.
After week one: the rest of the checklist
- Record your first progress note and approve your first timesheets as shifts are worked.
- Open Settings → Quality and communications and select Mark as reviewed on the Review incident and complaint settings item once your reportable-incident settings match your policies.
- Select Choose billing under Choose how you’ll pay before your trial ends.
- Track the larger project in Settings → Organisation and sites → Set-up and updates: Configure, Migrate, Train and Go live, each with its own checklist.
Tips
- Most checklist items tick themselves when the real data exists, so you never need to mark them by hand.
- Checklist items only appear for modules on your plan and permissions you hold, so your list may be shorter than a colleague’s.
If something goes wrong
The Getting started checklist has gone
It was hidden with Hide for good, or it retired after reaching 100%. Go to Settings → Organisation and sites → Set-up and updates and select Show the guide again.
I can’t tick an item myself
Items detected from data can’t be ticked by hand; the message is “This step is ticked automatically once it’s done.” Do the task the item describes, then reopen the checklist.
Paying for a plan says two-step verification is needed
Payments need a second sign-in step. Select Set it up now, finish set-up and you’ll return to the wizard.
