Overview of the standard reports

The report library holds the standard reports CompanionAxis ships with, grouped by area. This guide shows where to find them, which report answers which question and why a report may be missing for you.

Before you begin

  • Your role includes the reports.library.view permission (the Administrator, Operations manager, Rostering coordinator, Team leader / house manager, Finance and Quality and compliance role templates include it).
  • The Reports and analytics module is switched on for your organisation.

Open the report library

  1. Select Insights in the left rail, then Report library. The Reports page opens.
  2. Scroll through the groups. Reports are grouped by category: operations, finance, workforce, quality and care.
  3. Read the short description on each card to check it answers your question. A Scheduled badge means the report is already emailed on a schedule; a line such as “2 saved views” means colleagues have saved filters for it.
  4. Select a card to open the report. It runs straight away for the default period (the last 30 days unless your administrator changed Default report period).

Pick the report for an operations or finance question

  1. Open Utilisation for delivered against rostered hours, utilisation and open shifts, by team, home or day.
  2. Open Cancellations for cancelled shifts by reason, notice and who cancelled, including short-notice cancellations that can be billed.
  3. Open Revenue for invoiced, paid and outstanding revenue by payer, support category or team.
  4. Open Gross margin for billed price against pay cost (including penalties, allowances and on-costs) for delivered shifts.
  5. Open Budgets for spend against plan budgets by support category, and NDIS claims for first-pass acceptance, rejections and days from shift to cash.
  6. Open Sites by region for a list of active branches in each region with contact details.

Pick the report for a workforce, quality or care question

  1. Open Workforce hours for rostered hours, overtime and sleepovers per worker, with an estimated pay cost if you can see financials.
  2. Open Credentials compliance for required support worker credentials by status: missing, expired, to verify, expiring in 30, 60 or 90 days, and valid.
  3. Open Vacancies and availability for open shifts over the next two weeks against workers by team.
  4. Open Sign-ins or Users and roles to see who signs in and who has access.
  5. Open Incidents for incidents by type, severity, house and week. For a chart view of the same data, use Insights → Incident trends.
  6. Open Goal progress or Notes quality for goal progress by domain and progress notes written, returned, flagged and awaiting review per worker.

Every report shows only the records your role can see. Two people opening the same report can see different totals if their roles cover different regions, teams or houses.

Understand what you are looking at

  1. Read the stat tiles across the top: they are the headline figures for the filters you chose.
  2. Check the charts under the tiles, then the Detail table for the rows behind the figures.
  3. Look for Data as of on the right of the filter bar. Some figures come from summaries refreshed regularly; “(refreshing)” means a newer figure is on its way.
  4. If a blue note says the report shows the position as at today, the period filter does not apply (for example Budgets and Credentials compliance).
  5. Use the Related reports chips at the bottom to jump to other reports in the same category.

Tips

  • Bookmark a report with its filters: the period, region, team, house and grouping are kept in the page address.
  • Save filters you use every week as a saved view, and schedule the report so it arrives by email. See Exporting reports to Excel, CSV and PDF.
  • For a one-page view of several figures, build a dashboard in Insights → Custom dashboards.

If something goes wrong

A report I expected is not in the library

Each report needs its own module switched on and its own permission (for example Revenue needs invoice and financial access). Ask an administrator to check the module in Settings and your role in Settings → Users and roles.

“This report doesn’t exist or isn’t available to you.”

You opened a link to a report your role or plan does not include. Go back to Report library and choose from the reports listed for you.

The report says “No reports are available to you yet.”

Your role has no report permissions. Ask an administrator to add the reports permissions to your role.
