Workforce reports: hours, overtime and credential compliance

Use Workforce hours for hours and overtime per worker and Credentials compliance for screening and credential status. Vacancies and availability shows open shifts against your workforce for the next two weeks.

Before you begin

  • Your role can view shifts (rostering.shifts.view) for Workforce hours, and credentials (credentials.credentials.view) for Credentials compliance.
  • To see the estimated pay cost column, your role also needs financial report access.

Review hours and overtime per worker

  1. Go to Insights → Report library and open Workforce hours.
  2. Choose a Period such as Last week or Last 4 weeks, and narrow by region, team or house if needed.
  3. Read the tiles: Hours rostered, Overtime hours, Workers over 38 h a week, Sleepovers and, if you can see financials, Pay cost (estimate).
  4. Read the Overtime by worker chart to see who is carrying the most overtime.
  5. Sort the detail table by Overtime or Hours. Columns are Worker, Employment, Shifts, Hours, Overtime, Sleepovers and Pay cost (estimate).

Check credential compliance

  1. Open Credentials compliance from the report library.
  2. Read the tiles and the Credentials by status chart: missing, expired, To verify, Expiring in 30 days, Expiring in 31–90 days and valid.
  3. Use the detail table to find the credential types with the most gaps.
  4. Go to Team → Screening and credentials to chase or verify individual records.

This report shows the position as at today, so the period filter does not apply.

Check cover for the next two weeks

  1. Open Vacancies and availability.
  2. Read Open hours by team, next 14 days to see where shifts still need a worker.
  3. Go to Roster → Open shifts to fill them.

Tips

  • Schedule Workforce hours weekly to team leaders so overtime is spotted before the pay run; see Exporting reports to Excel, CSV and PDF.
  • Add the Overtime hours widget to a custom dashboard in Insights → Custom dashboards.

If something goes wrong

The pay cost column is missing

It is removed for roles without financial report access. Ask an administrator if you need it.

Credentials compliance is not in the library

It needs the Screening and credentials module switched on and credential view access on your role.
