Setting up a SIL house: residents, rooms and staff

Add a supported independent living (SIL) house to your organisation, then check its rooms, residents and staff team on the house page. Do this before you build a Roster of Care or take bookings for the house.

Before you begin

  • To add a house you need the Add sites permission (settings.sites.create) and the accommodation module switched on for your organisation.
  • The branch the house belongs to must already exist under Settings → Organisation and sites.
  • Participants who will live in the house should already have a participant record.

Add the house to your organisation

Houses sit under a branch in the organisation hierarchy (organisation → regions → branches → houses).

  1. Go to Settings → Organisation and sites and open the Structure tab.
  2. On the Organisation hierarchy card, select + House. The Add house drawer opens. If you don’t see + House, accommodation isn’t switched on for your organisation.
  3. Enter the Name and choose the Branch the house belongs to.
  4. Set Accommodation type to SIL. Use SDA, STA (respite) or MTA for other kinds of house.
  5. Choose the Billing entity and, if you use them, a Cost centre (it is tagged on shifts, invoices and payroll lines).
  6. Fill in Street address, Suburb, State, Postcode and the house Phone.
  7. Describe the Staffing model in plain words (for example 1:3 days, active overnight), set Sleepover room to Yes if staff have a room for sleepovers, and add the Opened on date.
  8. Select Save house. The house appears in the hierarchy and under Homes → Houses.

To change these details later, select the pencil next to the house in the hierarchy. Houses can’t be removed from this drawer.

Check the house page

  1. Go to Homes → Houses. The Houses table lists every house with Type, Occupancy, Staffing model, Team leader and today’s shifts filled.
  2. Select the house name to open the house page.
  3. Read the header: type, branch, address, rooms occupied and staff hours a week. Badges show Sleepover room, the number of rooms available or Full.
  4. Check the Key people card on the right for the house manager, House phone and After hours number. It shows No house manager set until one is recorded.

Review rooms and residents

  1. On the house page, open the Rooms and residents tab.
  2. Each row shows the Room, its status (Occupied, Vacant, Reserved, Short stay or Offline), the Resident, Moved in date, Funding and room features such as Ensuite or Accessible.
  3. Select a resident’s name to open their participant record, or Plan and budget to open their funding.
  4. For a vacant room, select Vacant · see matches to go to Homes → Vacancies.

If you see You can see the rooms but not who lives in them., you don’t hold the permission to view residents. Ask an administrator.

Review the staff team and tablets

  1. Open the Team tab. The House team table lists each worker with Role, Induction (Inducted or Induction needed) and Since.
  2. Use the Induction filter to find staff who still need a house induction. Workers inducted at a house are preferred by house-specific roster matching.
  3. If the house uses a shared tablet, set it up on the House tablets card below the team (see House shift handovers and the house diary).

Rooms, residents, house team members and the house manager aren’t added from these tabs today. Ask your CompanionAxis administrator or support to set them up for a new house.

Tips

  • Fill in Staffing model carefully: it is shown on the Houses list and in the Roster of Care header, so coordinators see the intended staffing at a glance.
  • A participant’s house is shown on their record and in the House or community column of People → All participants.

If something goes wrong

There is no + House button on the Structure tab

The accommodation module isn’t switched on, or you don’t hold the Add sites permission. The Houses stat on the page reads Accommodation isn’t on when the module is off.

A move-in fails with “This room is offline. Bring it back online first.”

The room has been taken offline (for example for repairs). Bring the room back online before moving someone in.

A move-in fails with “Already has a home”

The participant already lives in another house for some of those dates. Move them out of the other house first, or transfer them.

A move-in fails with “This house is closed.”

The house isn’t active. Check the house status with your administrator.
