Build a house’s Roster of Care: a typical week of staff on shift in each time band, sleepovers and active nights, and individual hours per resident. CompanionAxis costs it, splits shared hours across residents, and uses it for the SIL quote and the house shifts.
Before you begin
- The house must be a SIL house (Accommodation type SIL).
- You need Edit rosters of care to build drafts and Activate rosters of care to make one current.
- Residents come from the house’s residencies when a draft is created, so the residents should be living in (or moving into) the house.
Start a draft
- Go to Homes → Rosters of care.
- Choose the house in the House picker at the top right. Only SIL houses are listed.
- If the house has no Roster of Care yet, select Start a roster of care. If one is in force, select Edit as a new draft. The current version stays in force until you activate the draft.
- Check the stepper at the top: Vacancy listed, Referral matched, Roster of care built, SIL quoted, Move-in and staffing.
From a house page you can also select Roster of care in the header to open the same screen for that house.
Set the typical week
The Typical week card has one row per time band. Each cell is the number of staff on shift in that band on that day.
- Select Add band to add a row. Type a band name such as
Morning. - Set From and To. A band that ends after midnight is counted to the next morning.
- Choose the Type: Shared, Sleepover or Active night.
- Enter the number of staff for each day from Mon to Sun (0–20). Hours/wk and Staff hours per day update as you type.
- Remove a band you don’t need with the bin icon.
- Select Save draft. The figures in the stat cards and cost tables refresh after saving.
Add individual support per resident
- In Individual support per resident, find each resident.
- Enter the resident’s 1:1 hours in Hours/wk. A row shows Shared support only until you enter hours.
- Choose the Ratio: 1:1 or 2:1.
- Select Save draft again.
Individual hours aren’t turned into house shifts. They are listed as unscheduled demand for the coordinator to roster.
Check the split and the costs
- Read the stat cards: Staff hours a week, Shared hours per resident, Nights and Annual SIL value.
- Check Split by resident: each resident’s Share, Shared h, 1:1 h, Weekly and Annual value. Shared hours are split by each resident’s share; individual hours are charged to that resident.
- Check Support items at current price limits, which lists each support item, Quantity/wk, Price limit and Weekly at the NDIS price limits in force.
- If Annual SIL value says Some items have no price, a support item has no price limit for the date. Check the Pricing Schedule.
Activate, quote and generate shifts
- Select Activate to make the draft current from today. Activate is greyed out while you have unsaved changes.
- Select Build SIL quote to draft a SIL quote from the Roster of Care. The quote opens when it is ready.
- On a current version, select Generate house shifts. Draft house shifts are created from the start of next week, with residents and their shares on each shift; slots already there are skipped.
- Go to Roster → Roster board, set Group by to House, fill the shifts and select Publish roster.
When a resident moves in or out, the current version is marked Roster of care needs review. Start a new draft to bring it up to date.
Tips
- On the house page, the Roster of care tab compares Roster of care (quoted), Rostered and Delivered hours for the week so far.
- Running Generate house shifts twice doesn’t create duplicates.
If something goes wrong
“Add at least one band before activating.”
The draft has no time bands. Add at least one band, select Save draft, then Activate.
“This version is locked” / “Only drafts can change. Create a new draft from this version instead.”
Current, scheduled and superseded versions can’t be edited. Select Edit as a new draft.
No residents appear in Individual support per resident
Residents come from the house’s residencies when the draft is created. If someone moved in after you created the draft, start a new draft.
“Generate shifts from the current or a scheduled roster of care.”
Shifts can’t be generated from a draft. Activate the draft first.
