Once lines are approved, a pay run collects them for the pay period and sends them to Employment Hero, Xero Payroll or MYOB Payroll, or produces a CSV file. This tutorial covers set-up, the export wizard and fixing failures.
Before you begin
- You need Configure payroll for calendars, mappings and employee links; Manage pay runs to close periods and create runs; Export pay runs to export.
- To send directly, connect the payroll system in Settings → Integrations (the Payroll group). Otherwise export a file.
Set up once
- Go to Time → Pay runs and export. In Pay calendars, select Add.
- Enter a Name, choose Frequency (Weekly, Fortnightly or Monthly), the First day of a period, Pay day (days after the period ends), and optionally Cut-off day and Cut-off time. Select Save.
- Select Link workers to payroll. Choose your payroll system, and for each worker pick or type their payroll employee id. Select Save {n} links, or Sync from payroll to match automatically.
- In Pay-item mapping, enter the payroll pay item for each pay category and select Save mapping.
Close the period and create the pay run
- Pick the pay period. Approve or resolve anything in Held back (not approved) first.
- Select Close period (cut-off). No more lines can be added to the period.
- In No pay run for this period yet, choose Employment Hero, Xero, MYOB or File and select Create pay run.
Export
- Select Export pay run. Step Payroll system shows the target and whether it is connected; select Continue.
- Step Pay-item mapping lists any categories with no pay item and any workers not linked. Fix them, then Continue.
- Step Review and export shows Workers, Gross (est.) and OTE (for super) with each worker’s totals.
- Select Send to {payroll system}, or Export and download file for a CSV.
- Finish the pay run in your payroll system, then select Mark paid.
Tips
- Download a file export again from the File button in the Pay runs table.
- Exported lines are locked; correct them with a pay adjustment (see Correcting an approved timesheet after payroll).
If something goes wrong
Close the pay period (cut-off) before exporting
Select Close period (cut-off) for the period, then export again.
Fix the mapping, employee links or connection first
Map every category in Pay-item mapping, link every worker, or connect the payroll system in Settings → Integrations.
The export failed for some workers
Check the payroll connection and those workers’ employee links, then select Retry. Only the failed workers are sent again.
Pay run already exists
A period has one pay run. Pick it from the Pay runs table.
