Syncing invoices with Xero, MYOB or QuickBooks

Connect Xero, MYOB Business or QuickBooks Online so approved invoices, credit notes, contacts and payments flow into your ledger, mapped to your accounts.

Before you begin

  • Permission to connect integrations (Administrator) and to configure accounting.
  • Admin access to the accounting system you are connecting.
  • One accounting system per legal entity.

Connect your accounting system

  1. Go to Settings → Integrations and find the Accounting group.
  2. Select Connect on Xero, MYOB Business or QuickBooks Online.
  3. If you have more than one legal entity, choose the Legal entity, then select Continue to Xero (or the provider you chose). You’ll be asked to confirm it’s you.
  4. Sign in to the accounting system, approve access and choose the organisation. You return to CompanionAxis connected.

Map your accounts

  1. Open the connected provider from Settings → Integrations and select the Mappings tab.
  2. For each mapping set (for example revenue per NDIS support category), choose the account, tracking category, item or class at the provider. Select Refresh options if a new account is missing.
  3. Select Save mapping. It applies from the next sync.

Sync and fix errors

  1. Invoices sync once approved. The Accounting column on Billing → Invoices shows Synced, Pending, Not synced or Sync error.
  2. To push now, tick invoices and select Sync to Xero (or your provider), or use Sync now in the Accounting sync card.
  3. Select the Synced to accounting card to list invoices with a sync error.
  4. On an invoice with Accounting sync failed, select Retry, or Link to an existing contact when the payer already exists in your ledger, then retry.
  5. See every run on the provider’s Sync history tab, and retry failed records there.

Tips

  • Payments recorded in your ledger can come back into CompanionAxis, so invoices show as paid.
  • Linking a payer to an existing ledger contact stops duplicate contacts.

If something goes wrong

Reconnect needed.

The provider’s access has expired. Open the provider in Settings → Integrations and select Reconnect.

A draft invoice shows On approval in the Accounting column.

Drafts don’t sync. Approve the invoice first.

Sync to Xero is missing from the bulk actions.

No accounting system is connected, or your role lacks the accounting sync permission.
