Correct rejected lines and claim them again in the next batch, cancel a batch before it is uploaded, or redirect a line to another payer.
Before you begin
- Permissions to correct rework lines, update and cancel batches (Finance role).
Correct and resubmit a rejected line
- Go to Billing → Rejected lines and select Correct on the line.
- In Correct claim line, change the Support item, Delivered from, Delivered to, Quantity or Unit price ($) as needed.
- Write the Reason for the audit trail.
- Keep Add to the next draft batch ticked to queue it straight away, then select Save correction.
- If you didn’t queue it, select Queue corrected lines at the top later, or pick it up in New bulk claim (it shows as Reworked).
A lower amount than the original raises a credit note on the invoice for the difference.
Bill another payer instead
- On the rejected line, select the redirect icon (Bill another payer instead).
- Choose the Payer and type the Reason, for example a plan change to plan-managed.
- Select Redirect. The unpaid amount is credited on the NDIA invoice and a draft invoice is raised to the new payer.
Cancel a batch
- Open the batch while it is Draft or Validated and select Cancel batch.
- Type the Reason and select Cancel batch. The lines go back to the candidates, their invoices unlock and the file is kept.
- To withdraw a line already paid, issue a credit note on the invoice; paid claim lines credited this way are cancelled in the next bulk file.
Tips
- Each correction is claimed as a new attempt, so the history of every line is kept.
- Batches sent through the NDIA API can have lines withdrawn from the batch’s NDIA API panel with Withdraw.
If something goes wrong
No corrected lines are waiting: they may already be in a batch.
The corrected lines were already queued. Check the draft batch on Billing → Bulk claims.
Cancel batch isn’t shown on an uploaded batch.
Uploaded batches can’t be cancelled from the screen. Import the results and rework the rejected lines; contact support if the portal rejected the whole file.
Save correction is greyed out.
The Reason for the audit trail is required.
