Roster one shift for several participants at a shared ratio, or a 2:1 support with two workers, and use the checks to keep the ratio and billing right.
Before you begin
- Create shifts and Assign workers.
- Each participant’s service agreement or plan covers the group or shared support item you will use.
Roster a group or shared shift
- Go to Roster → Roster board and select New shift.
- Under Participants, add every participant in the group.
- Set Shift type to Group (this sets the ratio to 1:3) or keep another type and choose the Ratio yourself: 1:2, 1:3, 1:4, 1:5 or Group.
- Read the hint under Ratio, for example Each participant billed at the 1:3 rate.
- Choose the Support item for the group, add Shift instructions and a worker, then save.
Check the ratio warnings
- Read the Checks list. Ratio mismatch appears when the participants don’t fit the ratio.
- More participants than the ratio allows (for example four on a 1:3) blocks publishing.
- Fewer than the ratio expects warns that revenue will be lower, and a Group shift with one participant also warns.
- Adjust the ratio or the participants until the check clears.
Roster a 2:1 support
- In New shift, set Ratio to 2:1. The hint reads Two workers on one booking, and the shift needs two workers.
- Choose the first worker from the ranked list and publish.
- The shift stays Open until the second worker is assigned. Go to Roster → Open shifts, select the shift and assign or broadcast for the second place.
Find group and shared shifts on the board
- On the board, group and community shifts use the Community or group colour in the legend.
- Chips show the ratio as a tag (for example 1:3) and the type tag Group.
- Select the chip to see every participant and worker on the shift.
Tips
- Save a recurring group program as a template for the house or participant and roll it forward (see Recurring shifts and the master roster).
- If a participant drops out of a group, the ratio check warns about lower revenue so you can change the ratio before claiming.
If something goes wrong
Publishing is blocked with Ratio mismatch
There are more participants than the ratio allows. Change the ratio (for example 1:3 to 1:4) or move a participant to another shift.
Adding a third worker fails: “More workers than the shift needs.”
Each shift needs a set number of workers (two for 2:1, otherwise one). Create a separate shift for the extra worker.
Assigning shows “This shift already has all the workers it needs.”
Release a worker first with Swap or reassign or Make it open.
