CompanionAxis checks each worker’s screening, qualifications and training against the shift date before they are rostered, warns about anything expiring soon, and lets a manager override a gap for one shift with a reason.
Before you begin
- Credential requirements are set up for each position, and workers’ credentials are recorded under Team → Screening and credentials.
- To override a block you need Override credential blocks.
Know which checks run
- Credential expired mandatory: the NDIS Worker Screening Check is missing, expired or revoked. This always blocks and can never be overridden.
- Credential missing for shift: another required credential (for example first aid or a medication competency) is missing or expired. Depending on your settings it blocks or only warns.
- Credential expiring: the credential is valid but expires within 30 days of the shift. This is a warning.
- Credentials are checked on the shift date, so a check that expires before the shift ends blocks that shift even if it is valid today.
See credential problems while rostering
- In the New shift panel and the Swap or reassign list, workers failing mandatory screening are marked Blocked and can’t be chosen; others lose the Credentials current tick.
- On the roster board, shifts with problems show an amber or red warning tag with a count. Use the Flagged filter to list them.
- Open a shift and read Checks for this shift on the full shift record for the detail, such as First aid expires on a date.
Override a credential gap for one shift
- When you assign a worker who has a gap, the assignment is refused and, if you hold Override credential blocks, the Override a credential block for this shift window opens. You can also select Override next to the worker under Checks for this shift.
- Enter a Reason, for example Renewal lodged on 3 Nov, receipt sighted.
- Select Override for this shift. The override covers this shift only, is audited and shows on compliance reports.
- If you came from an assignment, choose the worker again to assign them.
Remove an override
- On the shift record, find the line Overridden for … under Checks for this shift.
- Select Remove. The credential check applies again.
Tips
- Clear the Credential expiring warnings by chasing renewals early. See Credential expiry alerts and blocking expired workers from shifts.
- Credentials waiting for verification count as missing unless your organisation allows rostering on pending credentials.
If something goes wrong
There is no Override option for the NDIS Worker Screening Check
That check can’t be overridden. The worker can’t work until a current clearance is recorded and verified.
The override window doesn’t open
You don’t hold Override credential blocks, which is held organisation-wide. Ask a manager who does.
A worker with a valid credential is still blocked
The credential may expire before the shift date, or still be pending verification. Check the expiry date and status on the worker’s credentials.
