How to find out why claim lines were rejected after uploading a bulk payment request in the myplace provider portal, correct them and claim them again.
Before you begin
- The NDIS claims permissions for Billing → Bulk claims and Rejected lines.
- Your entity has its NDIS registration number recorded.
Validate before you upload
- Open the batch in Billing → Bulk claims and select Validate batch.
- Read the failures, for example “The participant has no valid NDIS number (9 digits starting 43).” or “No NDIS plan covers {date}.”
- Fix them, or select Hold back failing to move them out of the batch.
- Select Generate file, then Download file, upload it in the portal and select Mark uploaded.
Import the results from the portal
- Download the results or remittance CSV from the my NDIS provider portal.
- Open the batch and select Import claim results, then choose the file.
- Check the summary (rows matched, unmatched, skipped). For unmatched rows choose Match to a line or Skip.
- Select Apply results. Rejected lines move to Billing → Rejected lines.
Correct rejected lines
- Go to Billing → Rejected lines. Each line shows the NDIA reason and a Suggested fix.
- Select Correct, change the Support item, dates, Quantity or Unit price ($) and enter a Reason for the audit trail.
- Tick Add to the next draft batch and select Save correction.
- Select Queue corrected lines, then New bulk claim to claim them again.
When a line can’t be claimed from the NDIA
- If the plan or booking needs to change first, mark it waiting (clock icon).
- If the support is plan-managed or self-managed, select Bill another payer instead, then Redirect.
- If it was already paid or can’t be recovered, select Write off. Large write-offs go to the approvals inbox first.
Tips
- A correction creates a new claim line; the rejected line is kept unchanged for the audit trail.
- Common reasons include “Price exceeds price limit”, “Service date outside plan dates” and “Support is not agency managed”.
If something goes wrong
“This results file was imported already.”
The same file can’t be applied twice. Download the latest results for the batch instead.
“Import results for a batch that was marked uploaded.”
Select Mark uploaded on the batch before importing results.
“The file needs a claim reference column, or NDIS number and support number columns”
Use the CSV exactly as downloaded from the portal, without editing columns.
“A correction can’t claim more than the invoice line.”
Raise a new invoice for the difference instead.
