Clock in at the start of a shift with your location, clock out when you finish once the required items are done, and know what to do when you are late, away from the address or can’t use the app.
Before you begin
- You are rostered on a published shift and have the app installed with location allowed.
- Coordinators set the rules on Roster → Support worker app (needs Worker app settings).
Clock in
- On Today (or the shift screen), tap Clock in. Before the window opens, the button reads Clock in opens with the time left; by default it opens 15 minutes before the start.
- The app shows Checking your location…, then You’re at the shift location or You’re outside the geofence, with your distance from the address.
- Check the Clock-in time and Rostered times.
- If you are outside the geofence or late, a Reason required box appears. Type why, for example Met the participant at the park, as arranged.
- Tap Clock in now. The app confirms your coordinator can see you are on shift and opens the shift.
If you aren’t at the address on purpose, tap I’m not at the location and give a reason.
Clock out
- Tap Clock out on Today or the shift screen.
- Check Before you clock out. Your organisation can require a progress note, medication doses, shift tasks, forms, kilometres and an answer to the incident question.
- Tap Write or Record next to anything not done. Answer Anything happen on shift? with Nothing happened or I reported an incident.
- Enter kilometres under Travel if asked.
- If something isn’t done or you are leaving early, give a Reason. Then tap Clock out at with the time. Your timesheet goes to your team leader for approval.
Set the rules (coordinators)
- Go to Roster → Support worker app.
- Under Check-in and check-out, set the Geofence radius, Earliest check-in (minutes before start), Late after (minutes), Alert coordinator if not checked in after (minutes) and Reason required outside geofence.
- Under Required before check-out, switch on what the app must enforce.
- Use the phone preview on the right to see the rules as a worker will, then select Save and publish settings. Workers get the new rules on their next sync.
Record a check-in for a worker who can’t use the app
- Open the shift’s Full shift record and choose More → Check in for a worker (or Check out for a worker). You need Check in for a worker.
- Set the time, add kilometres if checking out, and give a Reason, for example Worker phoned in: phone battery flat.
- Select Record. It is recorded as entered by you, raises a manual-time exception on the timesheet and is audited.
Tips
- Coordinators can follow every check-in on Roster → Live shifts, with the distance from the address and any reason given.
- Check-ins outside the geofence are allowed but flagged, with your reason, for your coordinator.
If something goes wrong
“Clock in opens at …”
You are too early. Wait until the time shown.
“Clock out of your current shift first.”
You are still clocked in to another shift. Clock out of it, then clock in to this one.
The app won’t let you clock out
Your organisation requires items to be finished first and doesn’t allow a reason instead. Finish the items listed, or call your coordinator to check you out.
Location never loads
Check location is on for CompanionAxis in your phone settings. See Worker can’t check in: location, permissions and app version.
