Enter the kilometres you drove with a participant when you clock out, claim travel between shifts, and follow what happens to each claim.
Before you begin
- You are rostered on the shift and use a vehicle for it.
- Coordinators need Approve travel claims to approve claims.
Enter kilometres with the participant at clock-out
- Tap Clock out at the end of the shift.
- Under Travel, enter the distance in Kilometres with the participant. The field shows on community shifts, or whenever your organisation requires kilometres.
- Finish the other items and tap Clock out at with the time.
- The kilometres are sent as an activity-based transport claim for your coordinator to approve.
Claim travel between shifts
- Tap More, then Travel.
- Tap Claim travel between shifts.
- Pick the date (up to 60 days back), enter Kilometres, and optionally From and To.
- Tap Claim. The claim appears in your list.
Follow your claims
- In More → Travel, each claim shows the km, its type, date, route and status.
- If your coordinator has a question, it shows as Question: under the claim.
- Approved kilometres are paid through your timesheet.
Approve claims (coordinators)
- Go to Time → Travel and kilometres and choose the pay period.
- Check each claim, then select Approve, Edit with reason, Query the worker or Reject.
- Billable transport goes to the next invoice run; travel between shifts is paid but never billed.
Tips
- Enter the kilometres before you clock out. If you forget, tell your coordinator, who can add it.
- Your timesheet in More → My timesheets shows kilometres for the pay period.
If something goes wrong
There is no Travel field when clocking out
It only shows on community shifts or when kilometres are required. Tell your coordinator the km, or ask them to add the requirement.
Claim stays grey
Enter a number in Kilometres (for example 12.5).
A claim is stuck as pending
Your coordinator may need to unlock the shift’s timesheet line before approving. Ask them to check Time → Travel and kilometres.
