Certificates such as first aid, CPR, manual handling and the NDIS Worker Orientation Module are recorded as worker credentials with expiry tracking, and training modules can be assigned to workers. This tutorial covers both.
Before you begin
- Verify credentials permission for certificates; Manage training (credentials.training.manage) to assign modules.
Know the built-in qualification types
- Go to Team → Screening and credentials and open Requirements by position.
- Check the types and their suggested renewal: First Aid (36 months), CPR (12 months), Manual Handling, Medication Competency, Infection Control, Mealtime Management, Epilepsy and Seizure Management and NDIS Worker Orientation Module (no expiry).
- Turn on the toggle under each position that needs the qualification.
Record the NDIS Worker Orientation Module
- New workers upload their certificate in the onboarding step NDIS Worker Orientation Module certificate.
- Verify the step in Team → Invites and onboarding, or, for an existing worker, verify the upload from the To verify tab of Team → Screening and credentials.
- Under How you checked, choose Checked the document, then select Verify.
The certificate has no expiry. Once verified, it stays current.
Record first aid, CPR and other certificates
- The worker uploads the certificate with a photo in More → My credentials (Add a credential, then Send for verification).
- Open it from To verify and select Review.
- Enter the Expires date from the certificate, choose How you checked and select Verify.
Assign a training module
- Open the worker from Team → Staff directory and go to the Training tab.
- Select Assign module.
- Select Assign next to the module. It appears on the tab with its provider, hours and status.
Check a worker’s training and qualifications
- On the worker’s profile, the Credentials current tile shows current credentials out of those required, and how many training modules are done.
- The Training tab lists each module as not started, due, overdue or completed.
- The Compliance matrix on Team → Screening and credentials shows every worker against every credential.
Tips
- Make the Orientation Module required for every participant-facing position so new starters can’t be rostered without it.
- Verified credentials and completed training count as evidence in the compliance hub.
If something goes wrong
A worker’s CPR shows Expired though they renewed
The renewal hasn’t been uploaded or verified yet. Ask them to upload it, then verify it from To verify.
Assign module isn’t shown
You need the Manage training permission.
