Availability, unavailability and leave requests

Support workers set when they can work and request leave in the app; coordinators see availability against the roster and approve leave with cover already lined up. This tutorial covers both sides.

Before you begin

  • Coordinators need rostering.availability.update to edit availability and rostering.leave.approve to decide leave.
  • Support workers need the app installed and signed in.

Workers: set availability and request leave

  1. In the app, open More → Leave and availability.
  2. On the Availability tab, set the times you can usually work each day and tap Save availability. A change may wait for approval.
  3. To block out one-off days, tap Add unavailable time, choose the dates, add an optional reason and tap Save.
  4. To request leave, open the Leave tab, tap Request leave, choose the type and dates, add an optional reason and tap Send request.

Coordinators: view availability

  1. Go to Roster → Availability.
  2. Use the week arrows or This week, search for a worker and filter by branch.
  3. Read each cell: available times, an Unavailable badge, or the leave type when the worker is on approved leave. The bar shows available time and rostered shifts.
  4. Check the tiles, including Shifts outside availability, which are also flagged on the roster board.

Coordinators: edit a worker’s availability

  1. Select Edit availability under the worker’s name.
  2. Tick each day they can work and set the start and end times.
  3. Select Save availability. The worker sees it in the app and rostering checks use it from now on.

If the worker had a two-week pattern, saving here replaces it with a one-week pattern.

Approve or decline leave

  1. Go to Roster → Leave requests. Pending requests show the shifts affected.
  2. Open a request. Each affected shift lists Suggested cover, ranked.
  3. Pick a cover worker for each shift, then select Approve and assign cover (or Approve).
  4. To decline, select Decline, write the Reason (shown to the worker) and select Decline.
  5. To decide several at once, tick them in the table and use the bulk buttons.

Record leave for a worker

  1. Open the worker’s profile from Team → Staff directory and select Record leave.
  2. Choose the Type, From and To dates and an optional Note.
  3. Select Save leave. Approve it in Roster → Leave requests if it needs approval.

Tips

  • Approved leave blocks rostering for those dates, and booked shifts are flagged for cover.
  • Workers with lots of spare available hours are listed in the availability banner: offer them open shifts first.

If something goes wrong

The worker sees You already have leave on those days.

A request already covers those dates. Cancel the earlier one in the app first.

No cover is suggested for a shift

Nobody free and available was found. Approve the leave, then open the shift for broadcast.

Decline is greyed out

Write a reason. The worker sees it in the app.
