Each worker's profile holds their employment details, credentials, skills, restrictions, contacts and history. Skills, restrictions and participants' preferences feed roster matching. This tutorial covers finding staff, updating a profile and keeping matching information right.
Before you begin
- View workers access to the staff directory. Editing needs workforce.workers.update; employment changes need workforce.employment.update; restrictions need workforce.restrictions.manage.
Find staff
- Go to Team → Staff directory.
- Use the switch: All, Needs attention (credential issues or not active) or Teams.
- Filter by Position, Branch, Employment, Status or Credentials, or search by name, position, language or branch.
- Select a row to open the profile. To message several people, tick them and select Message.
Update employment details
- On the profile, select Edit employment.
- Change the Position, Employment type, Award classification, Contracted hours a week, Home branch, Start date, Email or Mobile.
- Set Effective from and a Reason, then select Save. Changes are kept in Employment history on the Employment and access tab.
- Use the Employment menu to Activate, Suspend, Lift suspension, End employment or Reinstate or rehire.
Record skills
- Open the Employment and access tab and find Skills.
- Select Edit, choose skills from the list and select Save skills.
- Skills show on the Overview tab and are used to match workers to participants and open shifts.
Add a restriction or stand-down
- On Employment and access, find Restrictions and stand-downs and select Add.
- Choose the Kind: Restriction or Stand-down.
- Choose what it Applies to: All shifts, With a participant, At a house or A service type, and pick which one.
- Set From, optionally Until, and the Reason, then select Add restriction. The roster now checks it.
- Select Lift to end it; the reason is recorded on the worker’s history.
Use a restriction with a participant when a participant or family has asked that a worker not support them.
Record a participant’s worker preferences
- During intake (People → Referrals and intake), set Preferred worker gender. It is used by roster matching.
- Check it later on the participant’s Overview, under Worker preferences.
- To see continuity of care, open a worker’s Participants tab: shifts and hours with each participant.
Tips
- Keep emergency contacts current: they are on Employment and access, visible only to people allowed to see personal information.
- Use Teams in the staff directory to group workers under a team leader, for a branch or a house.
If something goes wrong
This worker doesn’t exist or isn’t in your scope.
The worker is outside your branch or house access. Ask someone with wider access, or an administrator.
Add restriction is greyed out
Fill in the Reason, and choose the participant, house or service type the restriction applies to.
A message didn’t reach some workers
Workers who haven’t set up the app don’t get messages. Invite them from App access on their profile.
